  • Performs HR administrative functions including: create offer letters, maintain paper and electronic employee files, prepare new employee onboarding packages, processes WSIB forms and followup as needed, draft/modify various letters, employment verification letters; memos and related documents, meeting agendas and minutes;
  • Maintains Human Resources drive and files ensuring proper classification;
  • Initiates and administers onboarding activities for new staff;
  • Works in coordination with Compensation and Benefit Specialist to ensure all offer letters are consistent with wage/salary grid.
  • Coordinates new hire offer letters and onboarding requirements and timing with hiring manager and Talent Acquisition Specialist;
  • Creates and updates employee packages (new hire packages and resources, onboarding packages, employee handbook etc.);
  • Conducts research, data entry for automating records, monitors content for accuracy, produces documents (charts, presentations) for various audiences;
  • Monitors Human Resources metrics and produces reports;
  • Maintains and updates training on HR Downloads;
  • Ensures preemployment training needs and scheduling are completed within appropriate timeframes for new employees;
  • Coordinates monthly orientation for new hires;
  • Maintains appropriate recordkeeping and reporting in accordance with YWCA Hamilton's policies and procedures, and confidentiality/privacy policies;
  • Updates termination paperwork (updating HRIS, sending termination lists to appropriate parties
  • IT, Finance and Senior Training Analyst);
  • Updates all new hires to HRIS, change of status and employment information, ensuring all changes are documented and processed efficiently with Finance;
  • Ensures all employee file documentation is timely and accurate;
  • Assists with recruitment activities such as job postings, screening resumes, prescreens, interviews and reference checks as needed;
  • Assists the Human Resources team in reports and presentations as needed;
  • Works safely, reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures;
  • Nurtures and forms meaningful internal and external working relationships and partnerships;
  • Understands emerging trends, leading practices, industry professional standards;
  • Supports YWCA Hamilton mission, vision and values;
  • Performs other duties as required.

Qualifications

  • Completion of 2 years Postsecondary education in Human Resources, social services or business, or equivalent;
  • Minimum 1' experience in administration or Human Resources
  • Certified Human Resources Professional (CHRP) designation is an asset
  • Knowledge of key HR related legislation (i.e. Occupational Health & Safety Act, Workplace Safety Insurance Board Act (WSIB), Human Rights and Employment Standards Act), policies, procedures and industry trends;
  • Proficient in Microsoft office; Outlook, Word and Excel;
  • Experience with an HRIS is an asset;
  • Must be able to work from a feminist, antiracist/antioppressive perspective;
  • Must provide a current Criminal Record Judicial Matters Police check or willingness to obtain at own cost;
  • Excellent verbal and written communication skills;
  • Bilingual English/French or other languages an asset.
