With our Head Quarters in Germany, and operations in over 40 countries around the world, we are an international company with deep family roots dating back to 1891.
Our London facility which employees about 300 associates was built in 2014 and showcases modern, highly automated, high volume production lines where we produce Ristorante, Casa di Mama and Giuseppe pizzas under the Dr.
Oetker label.In our facility, which is part of the International Pizza Production Unit (PPU), we start with raw materials such as flour and yeast to make a great pizza crust, topping with sauce and ingredients to make a fantastic, finished pizza and then freezing and packaging the pizzas for retail distribution.
Working
on site, and Reporting to the Plant Manager, this role will support the Senior Management team and play a crucial role in supporting the smooth and efficient operations of the facility.
Plant Administrator & Reception role you will:
- Create a welcoming environment by greeting guests, answering calls and directing visitors
- Oversee all daytoday office function including ordering office supplies, refreshment/ coffee stations, coordinating maintenance services, and ensuring a clean and professional work environment
- Coordinate daily mail, couriers, vendor visits and site logs.
- Maintain communication systems and office equipment
- Assist with printing, photocopying, faxing, collating, distributing and retrieving documents and files.
- Manage locker assignment and uniform management for all employees
- Assist with coordinating employee engagement items on an adhoc basis such as contests, draws and slideshows
- Act as a liaison between departments, clients, and partners. Handle inquiries, requests, and correspondence in a timely and professional manner.
- Laise with security to support and manage the secured points of entry including swipe cards and gate management
- Review, delegate and approve corporate invoices using SAP, including some expense reports
- Prepare for international guests and meetings (ordering and preparing food, sending invitations, room set up and clean up)
- Plan and coordinate travel support for our International guests (car, hotels, reservations)
- Coordinate, prepares, and processes purchases for production as required including sourcing quotes, product inquires and stock check/pricing with suppliers
Skills & Qualification
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Strong written and verbal communication skills, with excellent attention to detail.
- Exceptional organizational and timemanagement abilities.
- Ability to prioritize tasks and work under pressure to meet deadlines.
- Selfmotivated with a proactive and positive attitude.
- Demonstrated ability to handle sensitive information with confidentiality.
- Strong problemsolving skills and ability to anticipate needs.
- Excellent interpersonal skills and the ability to work well with diverse teams
