    Intended job posting audienceWhitehorse United Church is seeking an office administrator. The office administrator reports to the Ministry and Personnel Committee and works in collaboration with the Minister and church volunteers to ensure smooth and efficient daily operations of our church and its committees.

The church administrator is often the first contact that newcomers have with our church; on the phone, on line or in person.

The position requires people skills, flexibility, and a good sense of humour. It requires a unique set of skills - interpersonal, financial and technical. First among them is to be able to relate to a variety of people with compassion and care.

The Office Administrator works in the church office at 601 Main Street and routinely connects with:

  • Minister
  • Church committee members
  • Members and attendees of the congregation
  • Members of the public, user groups, facility renters

Duties and responsibilities:

Provides administrative support to the Minister, Church Council and other committees.
Provides consistent office hours at the church, 5 hours/day M to F.

Greets visitors to the church during office hours.

Answers incoming calls, routing them to the appropriate person.


Prepares for business meetings under direction of Church Council, including preparing and distributing documents containing agendas, reports and financial statements.


Manages the booking and scheduling of facility rentals for meetings, events, etc.
Connects with renters regarding facility use policies, site orientations, rental agreements, invoicing, access and security.

Performs clerical and financial activities according to established procedures.
Maintains current and accurate financial records.

Accounts Receivable and Payable duties - invoicing, posting all transactions to allocated accounts, bank deposits, etc.

Prepares tax receipts for donations.

Assists in preparation of annual church budget for administrative functions.

Produces reports for Finance and Property Committees.

Manages office supplies, keeps track of inventory, and buys more as needed.

Arranges for equipment maintenance when required.

Other duties:

Handles church communication and publications (e.g., weekly print bulletins, Annual Report compilation, posting videos to Facebook and YouTube.)

Maintains orderly and clean office space and records (paper and electronic) for future use.

Required knowledge, skills and abilities

  • Strong interpersonal skills and ability to work with multiple volunteers

  • Able to work at a fast pace and stick to weekly and monthly deadlines.
  • Ability to use technology specifically Microsoft Word, Publisher, Excel and Sage 50.
  • Ability to update and maintain electronic data files, statements and reports.

Must have bookkeeping training and experience.

Education and experience:

  • At least 1 year of experience working in an office environment and performing bookkeeping tasks.
  • High School Diploma or GED.
  • Preference for postsecondary education or training in office or business administration.

This is a permanent part-time position (25 hours per week, Monday to Friday) with some flexibility of hours of work. The hourly wage is $23-27/hour, depending on experience and education. RCMP clearance required. This position is eligible for the benefits package through the United Church of Canada.
