The Role:


The Project Administrator is pivotal in supporting the building process of each unit by managing purchase orders, generating work orders, facilitating contract administration, reconciling invoices, and resolving any disparities or inaccuracies.

This individual will ensure that each unit is built per the builder's specifications and homebuyer's requirements and within the production schedule, focusing on cost control and accuracy.


Responsibilities:

  • Ensure accurate generation and transmittal of work orders, purchase orders, and relevant documentation to ensure each home is built in accordance with builder specifications and homebuyer requirements.
  • Oversee and maintain production schedules and ensure timely transmission of work orders, purchase orders and other documentation.
  • Review late change orders and communicate these changes effectively to all relevant parties.
  • Regularly review and update system data for alterations to base contracts and options.
  • Reconcile invoices and statements from trades, reviewing applicable contracts, change orders, and cutoff lists.
  • Review and resolve various types of discrepancies in documentation and cost in calculations.
  • Assist with construction contracts and other administrative tasks as required.
  • Maintain regular communication with site personnel, contractors, and team members.
  • Assist and track required documentation from trades such as WSIB Certificates, Ministry of Labour Form 1000s, valid insurance certificates and Health & Safety documents.
  • Assist with tracking constructionrelated inspections and corresponding documentation.
  • Perform construction estimating tasks as needed.
  • Other related activities to support our organizational objectives.

Qualifications:

  • Post-Secondary Education, preferably in Accounting, and/or a Construction related field.
  • Previous experience in project administration or a similar role with construction and engineering projects being an asset.
  • Proficient in Microsoft Office Suite with a strong focus on Excel.
  • Experience utilizing construction software systems such as Newstar, Builder MT, and Mark Systems is an asset.
  • Resultsoriented selfstarter and who thrives in a fastpaced work environment.
  • Excellent timemanagement, administrative, interpersonal, and organizational skills, with the ability to prioritize and manage multiple tasks under tight deadlines.
  • Strong verbal and written communication skills.
  • Strong analytical and problemsolving skills.
  • Highly organized with exceptional excellent attention to detail.
