Major Responsibilities and Duties:

  • Maintaining stationery supplies for the office, including conducting inventory on a weekly basis, stocking internal offices and placing regular orders;
  • Maintaining printers, fax machine, and other stationery equipment
  • Liaising and maintaining strong and professional relationship with various vendors;
  • Assisting with boardroom and visitor's offices bookings;
  • Preparing boardrooms for meetings (both internal and client), including setting up equipment and catering as per work order request;
  • Assisting with catering orders and appropriately coding them in the internal tracking system;
  • Preparing internal offices for new hires and clearing out offices for departing staff;
  • Completing large printing jobs, cerloxing and tabbing binders;
  • Providing daily Reception coverage;
  • Completing scheduled inspections of boardrooms, washrooms, space, first aid kits/NERP supplies. Ensureing problem areas are reported to the Operations Coordinator.
  • Completes Distribution requests; this includes mail, fax and courier requests. Follows up with the Coordinator with status of the request.
  • First point of contact for vendors, e.g. greeting and escorting vendors when onsite to complete repairs etc.
  • Providing support in other areas for vacation coverage and during periods of highvolume workload.

Position Requirements

  • Education and Experience_
This position requires a high school diploma plus one to three years' experience in hospitality and/or office environment. An equivalent combination of education, training and experience may be acceptable.

  • Knowledge and Skills_
  • Excellent verbal and written communication skills
  • Knowledge of office practices and procedures.
  • Time management and organizational skills with the ability to prioritize and accomplish assigned tasks and effectively multitask.
  • Ability to work independently and be team player.
  • Computer skills (Microsoft, Outlook, Excel, Word, iManage).
  • Oral communication, customer service oriented and interpersonal skills needed to interact with a variety of individuals.
  • Ability to sort and classify information according to established methods.
  • Ability to maintain focus and physical stamina to carry out work orders and remain optimistic under pressure.
  • Regular attendance and reliability; flexibility to work extra hours when required.
  • Working Conditions_
  • Standard office environment.
  • Required to stand/walk for 70100% of shift.
  • Required to frequently lift up to 40 lbs. with occasional lifting between 4080 lbs.
  • Required to frequently push/pull up to 30 lbs.
