Position Summary

  • Reporting to the Manager, Diagnostic Imaging; the Diagnostic Imaging/ Cardio-Respiratory Clerk is responsible for supporting the departments in a clerical capacity by performing required clerical functions.
  • PRIMARY RESPONSIBILITIES:
  • Provides excellent customer service to all patients and system stakeholders of OSMH
  • Receiving and assisting patients in a caring and friendly manner and dealing with


inquiries appropriately within the departmental policies and guidelines.- Directing patients to appropriate modality waiting areas, liaising with clinical staff and using initiative and discretion to speed the progress of patients through the department where necessary.


  • Answers and directs telephone calls and inquiries from other departments, outside agencies, physicians and other sources. Referring inquiries to appropriate person in a timely manner.
  • Producing digital image copies when requested by patients and physician offices from PACS for distribution externally.
  • Appropriate image distribution in compliance with PHIPA
  • Knowledge of wait time information system (WTIS) and message management
  • Appropriate report distribution in compliance with Physician distribution agreements and PHIPA
  • Using specific departmental system(s) to duties attending the department for examination ensuring the information is accurate and correct.
  • Requesting and submitting work orders to facilitate the smooth operation of the department and assisting with monthly Safety Inspections.
  • Accurately and efficiently prepares and distributes reports, policies and procedures in addition to general departmental filing.
  • Processing mail, photocopying, faxing, other and other related clerical duties as required.
  • Ensuring prompt and safe service that meets accuracy and reliability standards.
  • Retrieving existing medical records and documentation for each patient when necessary.
  • Works in a collegial manner with management, clinical staff, physicians, volunteers, and other clerical staff from within the hospital as well as other health care facilities to ensure optimal communication.
  • Ensures excellent data quality by following all procedures and standards associated with quality data.
  • Performs other duties as may be assigned by the Manager and/or Charge Technologists.
  • Knowledge of the Ontario Breast Screening Program
  • Previous experience with Cancer Care Ontario data entry systems
  • Preparing all previous clinical information required for patient exams
  • Working with the Cancer Care Ontario Program to maintain up to date patient charts
  • Tracking patient outcomes in appropriate database
  • Fulsome participation in the Diagnostic Imaging (DI) quality management system (QMS).
Performs other duties as may be assigned by the direct manager

Qualifications:

  • Education:
  • Ontario Secondary School Graduation Diploma or equivalent is required
  • Successful completion of a Medical Terminology course required
  • Successful completion of the Hospitals Electronic Medical Record (EMR) training required upon hire
  • Completion of Medical Office Administration program is an asset
  • Completion of a recognized postsecondary diploma/degree is an asset

Experience:

  • Three (3) years related experience preferred
  • Respiratory
, and Cerner EMR

Competencies:

  • Demonstrated computer literacy and working knowledge of Microsoft Office Programs (Word, Excel, Outlook) is required;
  • Demonstrated familiarity with specific departmental systems is an asset (Power chart/orders, Transcription, Desktop Console Launcher, Communication Director, Radnet, WTIS, and PACS) is an asset;
