The
Office of the Internal Auditor within the
VP Finance is currently seeking a Full-time Regular
Assurance Office Coordinator.


Reporting to the Senior Director, Internal Audit, this position requires expert knowledge of University-wide practices and the complexities of the University's organizational structure.

This position is critical to the effective management of the day-to-day activities for the Office of the Internal Auditor and works in an environment where there is continual change, shifting priorities and frequent interruptions.

Problem solving, time management and meticulous attention to detail are necessary for the Assurance Office Coordinator to manage their own workload and meet key deadlines.


The Assurance Office Coordinator performs various roles for the Office of the Internal Auditor, including project manager, researcher, facilitator, representative, and communicator.

This position works in a confidential and complex multi-faceted environment, with access to information related to the operations of the department, unit and strategic direction of the University.

This position is responsible for supporting the administration and coordination of the priorities and directions set by the Senior Director, Internal Audit.


Summary of Key Responsibilities (job functions include but are not limited to):

  • Administrative and coordination support for all identified / assigned tasks, meeting all University requirements.
  • Support IA leadership towards the adherence of all standards, including the Institute of Internal Auditor Professional standards.
  • Resolve ad hoc issues, including situations when provided with limited identification of issues.
  • Serves as department onboarding and offboarding coordinator.
  • Ensure department website content is current.
  • Creating report / memorandums and other required documents as required by the Senior Director
  • Documenting standards implementation and maintenance in accordance with the IIA's Global.
  • Ensuring completeness of documentation and authorizations of all engagements based on internal work standards.
  • Preparing and coordinate regular Audit Committee package submissions in alignment with schedule deadlines.
  • Preparing and reviewing all issued report and ensuring adherence to all required quality standards.
  • Collecting and reporting key performance metrics for the department on a quarterly basis.

Qualifications / Requirements:

  • Postsecondary credential (certificate, diploma, degree) in a related field is required.
  • Demonstrated professional level of verbal and written audienceappropriate communication.
  • Significant administrative experience (7+ years) reporting to senior management with emphasis in decisionsupport and highly developed organizational skills and ability to anticipate needs, plan, organize, coordinate, and prioritize workload without significant direction.
  • Demonstrated strong project and time management skills in an environment with deadlines and shifting priorities; ability to set own priorities, working collaboratively, exercising initiative, tact, good judgment and maintaining confidentiality.
  • Demonstrated professionalism, discretion, courtesy, and respect in all interactions with internal and external clients creating a positive image for the Department.
  • Demonstrated welldeveloped research and report writing skills.
  • Extensive knowledge of the University of Calgary's policies, procedures, and operating requirements, combined with an understanding of the University's organizational structure.
  • Working knowledge of HTML, enterprise reporting and business intelligence tools.
  • Expert user of software and technologies common to UCalgary, including PeopleSoft (Finance and Supply Chain Management and HR/Payroll), MS Office Suite and Teams (Word, Excel, PowerPoint, Project, Visio), SharePoint, Outlook, Calendar, Adobe Acrobat Professional, Qualtrics, Drupal, and Internet skills.
  • Ability and enthusiasm around learning and understanding audit standards and a willingness to pursue audit certification.
  • Expert experience using Audit Management Solutions software (AuditBoard).
  • Meticulous attention to detail and strong organizational skills.
