POSITION OVERVIEW:

- Ganotec is a full service, heavy industrial contractor serving the industrial sector across Canada. Ganotec typically self performs all major disciplines including, civil, structural steel erection, heavy mechanical equipment installation, process piping and electrical / instrumentation and controls. We conduct our business through a variety of commercial contract styles including full turnkey, EPC, design build, T&M and conventional discipline packages. We have always been a strong proponent of "partnering", working in collaboration with owners, major equipment suppliers and engineers at the early stages of the project development phase to allow for a more costeffective execution strategy for the project. Ganotec continues to position ourselves towards the future, constantly seeking growth opportunities yet never losing sight of what has made the company so successful.
LOCATION:
This position is based out of Laval office.
RESPONSIBILITIES:
- Provide administrative support to the Department management team in a timely and efficient manner
- Support the projects team
- Support the administrative support team already in place
- Organize and coordinate meetings, including agendas, invitations, reservations, preparation of all required meeting items (rooms, office supplies, meals, etc.) for both in and out of office meetings
- Keep uptodate contact lists and calendars, using Outlook, for multiple team members
- Organize and coordinate travel schedules, reservations, and complete expense reports
- Keep various databases, reports and templates up to date
- Be and stay current with industry and company software and technology
- Organize and attend some conference calls
- Make prints, copies and binding and ensure distribution
- Greet visitors in a courteous manner and ensure that they are introduced to the right people at the reception desk
- Assist managers with onboarding new employees, ordering materials and prehire followups
- Assist managers in the planning and organization of different activities and events.
QUALIFICATIONS:
- Highly resourceful and able to complete tasks quickly
- Excellent communication skills, both verbal and written, in French is required
- Excellent organizational and time management skills
- Ability to multitask and manage priorities
- Attention to detail and excellent analytical skills
- Very good ability to work in a team environment, with different people and in different groups
- Advanced knowledge of MS office suite, including, Outlook, Word, Powerpoint, Excel, Forms.
- Having the desire to learn new things, being flexible and adapting to change.
- Functional knowledge of English (written and verbal) is considered as an asset. Lessons can be provided as needed.
