We are looking for a driven, enthusiastic, and passionate professional to join our team as an Office Administrator.

While this role is based out of our downtown office, you will also work closely with our management team in Laval and the West Island.

This is an in-person role located in our
Montreal office.

Responsibilities:

  • Greet clients and set a positive office atmosphere.
  • Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone.
  • Answer the phone, take messages, and redirect calls to appropriate offices.
  • Oversee sorting and distribution of incoming mail.
  • Operate office equipment, such as photocopier, printers, etc.
  • Attendance reports.
  • Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup.
  • Maintain the reception area, keeping it clean and free of clutter.
  • Perform inventory of office supplies and order what is needed.
  • Maintaining Sales KPI Reports and generate performance reports for multiple offices and divisions.
  • Meeting room Bookings.
  • Travel Bookings and Accommodations.
  • Liaising with Building over all Maintenance and other building related matters.
  • Weekly visits to satellite offices in the West Island and Laval to ensure operational functions are running smoothly.
  • Liaise with the marketing department: track all marketing inquiries and their conversions, providing updates to the marketing team.
  • Manage sales and CRM tools.

Qualifications:

  • 1 year of office administration a strong asset.
  • Exceptional in programs such a Word, Excel and other MS office tools.
  • Proficient with social media.
  • Highly motivated individual who is capable of multitasking in a fastpaced environment.
  • Sound judgement: you think critically and can make sound decisions in the face of ambiguity or complex situations.
  • Excellent written and oral skills (English) / Solid communication and interpersonal skills.
  • Strong organizational skills.
  • Analytical thinking.
  • Excellent time management.
  • Track record of overachieving goals.
  • Friendly, helpful, confident, and engaging personality.
  • Positive, goaloriented attitude.
