Overview:
Our client is a leading healthcare clinic dedicated to providing exceptional patient care and innovative medical solutions. They are seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to the CEO. The ideal candidate will possess strong Microsoft skills and preferably have previous experience working in a clinic or healthcare setting. This role requires exceptional organizational abilities, attention to detail, and the ability to handle sensitive information with confidentiality. Including working with physicians, other healthcare professionals, colleagues and universities and potentially board members.

What you will be doing:

  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Write and respond and manage the CEO emails, phone calls and other communications methods in a proficient professional manner.
  • Prepare and edit correspondence, presentations, and reports using Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Maintain accurate records and files, both electronic and physical, ensuring easy retrieval of information as needed.
  • Act as a liaison between executives, staff, patients, and external stakeholders, handling inquiries and requests in a professional and timely manner.
  • Assist with project management tasks, such as tracking deadlines, monitoring budgets, and coordinating team efforts.
  • Help organize and facilitate clinic events, conferences, and meetings, including logistical arrangements and material preparation.
  • Manage special projects and initiatives as assigned by the CEO, demonstrating flexibility and adaptability to changing priorities.

What you must have:

  • Proven experience as an executive assistant or administrative professional, preferably in a clinic or healthcare environment.
  • Strong Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively and meet deadlines.
  • Ability to handle confidential information with discretion and integrity.
  • Proactive problem-solving abilities and a willingness to take initiative in a fast-paced environment.
  • Flexibility to adapt to changing priorities and work independently or as part of a team as needed.
