Taylor Auto Body Office Administration position is responsible for the organization and health of the collision centers revenue, by keeping accounts current and organized.

They must maintain a good professional working relationship with government insurance adjusters and outside insurance providers.

Office Administration is responsible for exceptional customer communication and must work as a team to stay informed of the progress of the repair and administration of the work performed.

The Office Administrator is the immediate supervisor for Reception, reports to and takes direction from the Auto Body Manager.

Responsibilities include but are not limited to:

  • Open collision center in the morning, greeting early morning customers and enter their vehicles into production.
  • Complete and balance the previous day's cash sheet. Prepare the information that gets taken up to accounting daily.
  • Track and record daily attendance, sick days and holiday schedule.
  • Process payroll for technician and office staff, keeping track of overtime.
  • Enter technician time tickets into work orders, and maintain supplemental time tickets when required.
  • Finalize work order to match labour time taken. Close work order for final payments.
  • Enter epay for insurance payments, or create CRN for adjuster.
  • Obtain approval for and invoice appropriate departments for internal work.
  • Proactively update customers with supplement damage and/or status changes in the repair process and update production board.
  • Collect appropriate charges including other insurance deductible payments, GST and betterment.
  • Maintain accounts receivables.
  • Prepare and mail out final paperwork to customers.
  • Create month end report for accounting.
  • Collect information and process windshield claims. Ensure all applicable forms, deductibles are complete before work is completed.
  • Monitor and respond to customer surveys. (Medallia)
  • Develop and implement body shop procedures and policies when required, with final approval from Manager.
