Building a community of hope since 1987, we would like to invite you to join our journey. Siloam Mission is currently seeking for permanent full-time Administrative Assistant.

This position is responsible for providing a wide range of administrative and executive-level support tasks.

The incumbent will also be responsible for preparing reports, research and support on the projects as required by the departments.

KEY DUTIES & RESPONSIBILITIES

Aid the Executive Team in arranging appointments and meetings with internal and external stakeholders and updating the appropriate calendars;
Develop and maintain department/program operation manuals for the organization;
Organizing and coordinating internal and external training;
Record and track staff training requirements;
Record, transcribe and distribute meeting minutes;
Work collaboratively with other departments and across functions within Siloam Mission;
Provide information and general support to visitors as well as conduct tours as required;
Develop and maintain a well-organized filing system for easy reference and retrieval of information;
Other related duties as assigned.

EDUCATION & EXPERIENCE

Diploma or Certificate in Office Administration or equivalent;
Minimum 3 years of experience administrative assistant experience in a fast-paced multitasked environment.

KNOWLEDGE/SKILLS/BEHAVIOURS

Outstanding attention to detail and organizational skills;
Exceptional written and verbal communication skills;
Ability to work independently with mínimal supervision;
Ability to interact well with others with a high level of professionalism and the ability to handle confidential information;
Good knowledge of Microsoft Applications and other related software or systems;
Must have exceptional organizational and time management skills;
Must be a critical thinker with excellent problem-solving skills;
Has the ability to build a positive working relationship;
Experience and knowledge in the non-profit social services sector is an asset.

RELATIONSHIP
This position reports to the Executive Assistant.

WORKING CONDITIONS

Hours of work:
Monday - Friday 8:00 am - 4:30 pm, with occasional evenings and weekends during peak seasons and events
Office Environment

ADDITIONAL
Clear Vulnerable Sector Check and Clear Adult Abuse Registry Check will be required.
