Overview:
Fred Douglas Management Inc. (FDMI) is seeking a detail-oriented and organized
Administrative Assistant to join our team.
Reporting to the Executive Director of Property Management and Resident Relations and to the building Property Manager, the
Administrative Assistant will provide crucial administrative support to the Executive Director, Property Manager, Board of Directors, Residents, Building Superintendent and ensure the efficient operation of the daily activities within the project.
During employment, your responsibilities will include but are not limited to the following:
General Administrative Tasks:
- Organize and maintain physical and digital files.
- Schedule and coordinate meetings, appointments, and events.
- Greet and assist visitors to the facility.
Data Entry and Record Keeping:
- Input and maintain accurate data in databases and systems.
- Prepare and update reports, spreadsheets, and documents as needed.
Communication:
- Serve as a liaison between residents, staff, and external contacts.
- Ensure timely and effective communication within the organization.
Office Management:
- Order and maintain office supplies and equipment.
- Coordinate with vendors and service providers.
Support to Management:
- Assist in preparing reports and presentations.
- Handle confidential information with discretion.
Resident Services:
- Respond to inquiries and provide information to residents and their families.
- Support in organizing community events and activities.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote, Publisher, Access) Exchange Online, SharePoint and OneDrive, and basic office management software such as Zoom, Trello, and Dropbox.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High attention to detail and accuracy.
- Ability to handle sensitive information with confidentiality.
- Prior experience in a senior living community or healthcare setting is a plus.
Education and Requirements:
- College diploma or equivalent.
- Additional certification in office administration or related field is advantageous.
- Experience in property management is preferred.
