THE OPPORTUNITY
WHAT YOU WILL DO
Office Services
- Answer and direct calls from main phone line
- Be the first point of contact for all clients and retail appointments
- Administer switchboard phone and programming; assist other managers with Telus Mobility cell phones and accounts as needed including outofcountry phone packages when necessary
- Order office supplies, business cards, coffee/tea and other printed materials on an asneeded basis
- Maintenance of Showroom/Office tidiness and assist with esthetics
- Set up welcome display screen
- Manage company fitness subsidy, internal recognition program and year end staff awards
- Deliver new hire orientation on "Office Services" and company policies
- Correspondence and corporate admin assistance for other managers and supervisors as needed
- Liaise with rest of office on behalf of President
Social/Event Planning/Travel Coordination
- Participate in Company Committees (Social, Safety, Christmas, United Way etc.)
- Provide administrative support for company and client events
- Coordinate ticket purchases and event registrations for the President and all other Edmonton Staff when necessary
- Book travel arrangements (airfare, car rentals, hotels) for President and all other Edmonton staff as necessary
- Arrange catering when required
Reporting/Reconciliations
- Monthly VISA expense claim reconciliation management
- Reconcile company VISAs for self and President
- Reconcile company TELUS mobility billing
- Create and produce reports from the company Hedberg and CRM system
President's Representative
- Maintain President's calendar including sending and responding to invitations
- Representative of the President at Social Club meetings and functions as well as RGOfunded functions
- Manage donation requests and payments
- Coordinate expense reports for the President
- Manage President's subscriptions and memberships
- Coordinate details with the President for special occasions
- Update President's Outlook contacts
- Manage President's family group benefits plans
WHAT YOU WILL BRING
- Post-Secondary Administrative Diploma or equivalent
- 3 + years of general office administrative experience
- Experienced with and understand the responsibility of handling confidential material
- An innovative, "gogetter" approach
- Willing and able to research issues independently and collaboratively with various departments
- Ability to use good judgment to implement effective decisions
- Excellent computer skills (Outlook, Microsoft Word, Excel, PowerPoint) and SharePoint experience is an asset
- Excellent phone mannerism with clear, articulate English skills
- Very good organizational skills
- Positive optimistic approach
- Able to overcome obstacles and complete tasks
- Capacity to learn new information and skills
- Able to take control of challenging situations
- Superior customer service skills
