POSITION TITLE: Community Services Events Coordinator

DEPARTMENT: Community Services

SUPERVISOR: Community Services Manager

TERMS: Full-Time, Permanent

Purpose of Position:

The Events Coordinator is responsible for planning, organizing and coordinating events relations on behalf of the TteS.

Duties and Responsibilities:

  • Plans, organizes and coordinates organizational events within budgets, policies and standards for the TteS. (95%)
  • Creates an annual event plan, conducting and manging existing community service events.
  • Manage CS Events budget and handle events accounting needs including team expense submissions, invoicing, payments, and tracking.
  • Be the events main point of contact.
  • Liaise with vendors (caterers, photographers, audio visual companies etc.)
  • Assist with volunteers for events.
  • Coordinates and oversees day-to-day delivery of event planning services for TteS and Community Services
  • Collaborate and assist with Community Services for Community events contacts to determine event logistics, coordinate appropriate TteS supports and maintain TteS protocols, coordinate with Communications and Corporate Event Coordinator.
  • Develops efficient and comprehensive event planning resources.
  • Establish TteS event guiding documents including planning protocol and checklist.
  • Sets up and operates audio-visual equipment for meetings and events.
  • Ensures proper protocols, approvals and budgets are in place and adhered to.
  • Organizes special community events and assists in event coordination as deemed appropriate by Community Services Manager
  • Assist Corporate Events Coordinator for press tours with the media as requested.
  • Supervises the scope of planned events.
  • Ensures the native language, culture and history are reflected in aspects and functions of the department.
  • Performs all duties and responsibilities in accordance with the TteS policies, standards, and procedures.
  • Maintains confidentiality on all matters relating to the affairs of the TteS and Community Services.
  • All Other related duties as required. (5%)

Professional Certification, Education and Experience:

Completion of a Certificate or Diploma in Event Planning, Communications, Journalism, Public Relations, or Marketing and 2 years directly related experience or an equivalent combination of education and experience.

Demonstrated experience planning, organizing, and coordinating events.

Must have a valid Class 5 Drivers License.

This position is responsible for a budget of approximately $100,000.

Supervision or Training Duties:

Supervises the scope of planned events.

Skills and Abilities:


• Ability to plan, organize and coordinate work.


• Excellent oral and written communication.


• Strong teamwork and cooperation, service orientation skills.


• Ability to balance and blend various departmental needs into effective communication strategies.


• Ability to research and collect data and to prepare reports and related documentation.


• Advanced computer skills in word processing, website management and spreadsheet applications.


• Knowledge and understanding of monitoring services, and communication techniques.


• Basic understanding of photography and use of a/v equipment.


• Demonstrated ability to coordinate and manage concurrent activities, keeping staff and colleagues informed.


• Ability to work in a cross-cultural environment.

HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.

PAY GRADE: Starting at $25.98-$38.21/hour depending on education & experience
