Trans Mountain operates Canada's only pipeline system transporting oil products to the West Coast.

We deliver approximately 300,000 barrels of petroleum products each day through 1,150 kilometres of pipeline in Alberta and British Columbia, and 111 kilometres of pipeline in Washington state.

As an Administrative Assistant with Trans Mountain, you'll have the opportunity to work with a progressive and fast-paced group of professionals in the Western Regional office, reporting to the Supervisor of Pipeline Protection.

This position is based in Burnaby British Columbia.

Key Deliverable/Responsibilities

  • Provides general administrative assistance including answering telephones, photocopying, paper/electronic filing and document preparation and control including updating manuals. Maintain files and process documentation specific to the business area.
  • Coordinates meeting, travel arrangements, office services including supplies and equipment maintenance.
  • Participate in safety meetings and emergency response exercises as well as support other field related functions such as support for field staff, landowner notifications and handouts, contractor functions.
  • Provides data entry and administrative assistance related company computer programs such as D365, ADP, Pipeline Integrity Management Database, maintenance management systems and training systems, as well as other internal reporting systems which include monthly accruals and quarterly budget reviews and operational incident reports.
  • Assists with department financial administration requirements including budgeting, invoice coding, purchase card coding, receipt and coding of contractor field tickets (LEMs), employee expenses, new vendor setup and procurement activities.
  • Communicates with internal (head office departments, other districts) and external (public, contractors, consultants) groups.

Requirements:

  • Postsecondary education training in business systems (e.g. Microsoft Office
  • Word processing and accounting).
  • Minimum of 3 years' experience in an administrative support role, preferably in an oil and gas or industrial environment. Knowledge of office administration.
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Must be a team player with a positive attitude.
  • Selfmotivated, capable of performing tasks with mínimal supervision.
  • Able to prioritize and handle multiple tasks simultaneously.
  • Attention to detail is critical.
  • Ability to work well under pressure and handle strict deadlines.
  • Strong organizational skills.
  • Excellent verbal and written English communication skills.
  • Ability to work in a fast paced and dynamic environment.
  • Must be a problem solver with the ability to find resolutions.
  • A valid driver's license is required.
