On a day to day basis the Office Management & HR Specialist will...

  • Be the goto person for all things office: Ensure employees have what they need to do their jobs and help them by answering questions and overseeing the administration of our coworking space
  • Manage vendors, software subscriptions, and office equipment
  • Document our processes and keep documentation up to date; identify and recommend new processes and procedures for the company
  • Retrieve and distribute (scan) Wallop's mail
  • Research and book travel for client meetings, team events, and offsite meetings
  • Chair our Social Committee and lead the planning for staff retreats, holiday parties, etc.
  • Own and curate engaging inoffice and remote experiences and events for our employees to feel connected to one another whether they come into the office or hop onto Slack; fostering team building and connection
  • Assist with HR policy creation and execution, including onboarding, performance management,, retention activities and offboarding.
  • Manage Leapsome, our employee engagement platform
  • Maintain employee documents and follow a cadence that ensures they are complete and uptodate
  • Maintain job descriptions (with the support of relevant managers)
  • Keep Employee Handbook and Remote Work Policy updated
  • Assist with administering payroll and benefits to employees
  • Ensure employee issues are brought to the attention of the Executive team as soon as possible

Skills required:

  • Previous experience (3+ years) in an office management and HR role
  • Ability to work independently and manage multiple tasks with varying deadlines
  • Strong analytical thinker
  • A natural ability to communicate kindly and professionally in any situation, forming meaningful connections along the way
  • A cando attitude and desire to take ownership of your tasks
  • Ability to stay organized while balancing the big picture and the details—multitasking is second nature
  • Proficiency with contracts and business documents
  • Ability to handle sensitive matters and exercise excellent judgment and confidentiality

Bonus points for

  • Experience working on a Mac
  • Experience using Bamboo, Leapsome, or other HR platforms
  • Experience working in a marketing agency
  • Experience organizing company events (both virtual and inperson)
