Position Title: Student Office Assistant

Location: Kitchener, ON

Term: Full-time, Contract (Jun 24, 2024 – Aug 23, 2024)

Reports To: Executive Lead, Board Relations and Governance

Date: May 28, 2024

I. Scope and Summary of Primary Responsibilities

In covering a broad range of duties, the emphasis of this position is to support the team as a Governance and Office Assistant. This role provides an excellent opportunity for a student to gain practical experience in governance, administrative support, and office operations within a dynamic and collaborative environment within the Kitchener office and the Governance Department. The Governance and Office Assistant is intended to meet the goals and needs of the department.

II. Essential Functions

The position entails, but is not limited to the following general responsibilities:


• Provides administrative support to the Governance Team working with the Executive Lead, Board Relations, and Governance.


•Supports coordination of internal and external events, such as board meetings and committee sessions, workshops and training sessions including scheduling and logistics; assists in preparation and distribution of meeting materials.


•Assist with filing, data entry and document management.


•Provides general office support including greeting visitors, inquiries from patients, referral sources, and other community contacts about VLRC services.


•Help with the organization and maintenance of office supplies and equipment, office procedures and policies.


•Manages multiple tasks, while still meeting deadlines and producing high-quality work.


•Collaborate with team members on various projects and initiatives to improve office efficiency and governance practices


•Contributes to a supportive team environment to meet the operational and team objectives.


•Consults with supervisor on issues that are more complex and that may require upper-level approval.


•Conducts themselves in a professional manner at all times.


•Committed to maintaining privacy and confidentiality.

III. Qualifications

Knowledge and Skill Requirements:


•Well-developed interpersonal, written, and verbal communications skills


•Sensitivity to the needs of persons with vision loss,


•Exercises judgment and tact when dealing with individuals and demonstrates sound judgment in when to elevate issues to the next level.


•Professional demeanor and strong interpersonal skills,


•Attention to detail and a high level of accuracy in documentation.


•Demonstrates organizational and time management skills with the ability to handle multiple tasks and priorities,


•Ability to work independently and as part of a team.


•Ability to work flexible hours,


•At least sixteen years of age,


•Clear certificate of conduct. (Police Record Check)

Experience and Education:


•Currently enrolled in a post-secondary program


•Proficient in the use of Microsoft Office 365 & Suite products


•Demonstrated customer service skills considered an asset
