Receptionist to support the

Woodbridge, ON branch. The role of the receptionist plays a crucial role as the first point of contact for visitors, clients, and employees at the company. This position is responsible for providing excellent customer service, handling incoming calls, and performing various administrative tasks to ensure the smooth operation of the front desk and office.

  • Greeting and

Welcoming Visitors:
Warmly greet all visitors, clients, and guests as they arrive at the office. Create a positive and professional first impression by providing a friendly and courteous welcome.

  • Answering and

Directing Calls:

Manage the company's main phone line, promptly answering incoming calls and transferring them to the appropriate person or department.

Take accurate messages when necessary and ensure they are delivered promptly.

  • Managing Reception Area: Maintain a neat, organized, and inviting reception area. Ensure that it is wellstocked with necessary supplies, such as brochures, informational materials, and refreshments.
  • Scheduling Appointments: Assist in scheduling appointments and meetings for both employees and clients. Coordinate with team members to ensure meeting rooms are prepared and reserved as needed.
  • Handling Mail and Packages: Sort and distribute incoming mail and packages to appropriate recipients within the organization. Process outgoing mail and coordinate with courier services as required.
  • Administrative Support: Provide administrative assistance to various departments, including word processing, data entry, filing, and photocopying. Assist with the preparation of documents and reports as requested.
  • Monitoring Access and Security: Ensure that visitors and guests sign in and follow proper security protocols. Issue visitor badges and monitor access to the premises to maintain a secure and safe environment.
  • Resolving Inquiries: Respond to inquiries from clients, visitors, and employees in a professional and courteous manner. Direct questions and concerns to the appropriate person or department for resolution.
  • Assisting with

Facilities Management:
Support facilities management by coordinating office maintenance, ordering office supplies, and liaising with vendors as needed.

  • Upholding Company Policies: Adhere to company policies and procedures, including privacy and confidentiality guidelines. Maintain discretion and confidentiality when handling sensitive information.

Qualifications:
