Immigrant Services Calgary helps over 10,000 newcomers each year, connecting them to programs and services to unleash their potential.

The Program Coordinator plays a pivotal role in ensuring the efficient operation of the Client Services department.

Reporting directly to the Director of Client Services, the Program Coordinator is responsible for managing critical documents, coordinating logistics, and supporting communication between various stakeholders.

Gateway Services, Calgary Language Assessment and Referral Centre (CLARC), and Client Care team.
This role offers a hybrid work arrangement, requiring a minimum of 3 days per week on-site.
Program Funder Contract Management
Track program funder contracts from initiation to account closure, ensuring timely delivery of all reports and deliverables.
Manage organization's funder portal accounts: oversee user accounts, notifications, and maintain up-to-date records.

Program Planning and Coordination:
Assist with program development and planning in collaboration with Program Managers and Director.
Manage deadlines and timelines for program tasks and deliverables.
Manage program communication through the creation of presentations, reports, and other documents.
Maintain program records and databases.
Stay abreast of program policies and procedures updates. Provide administrative support to program leadership as required.
Undergraduate degree or Diploma in Business Administration, Human Services, or a related field.

Proficient in funder contract management.
Skilled in coordinating, writing, and editing reports.
Experience in program planning and coordination, meeting scheduling, and deadline management.

Strong communication and administrative skills, with the ability to create presentations, reports, and documents, maintaining program records and databases, and facilitating effective communication among all stakeholders.

Proficient with project management tools and processes.
Strong working knowledge of MS Office Suite (Word, Excel, PowerPoint, SharePoint).
Experience with Salesforce or other CRM software is considered an asset.
Skilled in problem-solving, facilitation, and creative thinking, adept at navigating complex challenges with innovative solutions.
Proficient in project management, and analytical and critical thinking.
Strong time management and negotiation skills.
