The University Advancement division plays a leading role in strengthening awareness of and support for the University's mission and goals by leading alumni relations and fundraising efforts across campus and beyond.

All departments within the Division build enduring alumni and public trust through understanding and support for Western University in a coordinated campuswide effort that results in the engagement and funding needed to make an impact.

There are 3 departments within the Division - Departments of Development, Alumni Relations and Advancement Operations

Responsibilities:


The Administrative Assistant will provide a high level of administrative support, including calendar management, assistance with travel booking and expenses, organizing meetings and acting as a point of contact for inquiries.

The role will work as part of the administrative support team within the Division, and will provide support for the team of Faculty and Division based Development Professionals (FDDPs).

The role will compile information for reports, analyzing and interpreting content, and researching corporations, foundations and/or individuals. The Administrative Assistant will coordinate meeting and travel arrangements, coordinate all materials for meetings, create and maintain schedules and assist with the development of operational procedures

Qualifications:

Education:

  • 2 year community college diploma with a Major in Business Management/Administration

Experience:

  • More than 4 years and up to and including 6 years administrative experience, providing support to several stakeholders
  • Experience managing an executive calendar

Knowledge, Skills & Abilities:

  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Ability to follow formal business practices with high attention to detail
  • Ability to interact professionally with students, staff, faculty, and other members of the University community
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to multitask and maintain an organized and effective personal work environment
  • Ability to summarize information and disseminate to others effectively in a timely manner
  • Adapts readily and effectively to changing priorities and demands
  • Attention to detail and proofreading abilities
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Critical thinking skills to analyze problems, and collect information required to make an accurate conclusion
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Personable and courteous in working relationships with colleagues, students and the public
  • Intermediate proficiency required in Microsoft Office Suite to prepare communications, graphics, financial reports, grant submissions, input departmental data into spreadsheets and databases
