About Us:

The mission of the School of Graduate and Postdoctoral Studies (SGPS) is to support Faculties and programs in providing high quality, innovative graduate programs, attracting
high quality graduate students and postdoctoral trainees, and expanding graduate education and graduate professional development at Western. The professional staff serve as a comprehensive resource on graduate matters, accountable to all graduate programs and students.

Responsibilities:


The Administrative Assistant provides administrative support for two Associate Vice-Provosts (AVPs) and coordinates the day-to-day operations of the School of Graduate and Postdoctoral Studies related to administrative, financial, human and information resources in collaboration with the Director of Administration.

The role manages busy calendars for the AVPs, ensuring effective scheduling, and administers human resources and financial processes in accordance with all policies, procedures and timelines.

The Administrative Assistant also supports event coordination and assists with the preparation and distribution of correspondence to internal/external stakeholders as required.


Qualifications:

  • Education:
  • 2 year Community College Diploma in Business Management/Administration
  • Bachelor's Degree preferred

Experience:

  • 4 years of experience providing financial, human resources, administrative support to a Senior Leader(s) in an academic environment
  • Experience working in a graduate education environment preferred

Knowledge, Skills & Abilities:

  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Ability to demonstrate patience and focus to complete detailed administrative tasks
