The Office Administrator provides administrative support to the Digital Skills for the Workplace programs and to the Manager. The position also assists with financial and administrative duties.

KEY RESPONSIBILITIESProvides administrative and organizational support to the Manager, and staff team;

  • Acts as a contact for all vendors and consults with the Manager for decision making;
  • May deal with difficult clients and diffuse challenging situations;
  • Prepares reports, correspondence and documents as required for Digital Skills for the Workplace;
  • Responsible for program records management, which includes maintaining filing systems, developing; procedures and criteria for archiving and disposal for the Digital Skills for the Workplace;
  • Prepares quarterly claims and prepares periodic reviews of the budget status for YWCA and for the funder
  • ESDC for DSW;
  • Assists with preparing and monitoring budgets for DSW, in consultation with the Manager;
  • Maintains and prepares all bookkeeping records for DSW to the satisfaction of the Manager;
  • Processes accounts payable entries into GP Dynamics and exports to the Finance Department for DSW; monitors outstanding payments where necessary;
  • Maintains and regularly updates cash flows and annual budgets;
  • Processes and maintains records for the program;
  • Tabulates statistics and prepares computerized monthly/quarterly/annual program summaries.

QUALIFICATIONSIn-depth knowledge of an academic or technical discipline normally acquired through completion of a community college diploma (e.g. business administration, commerce or related field)
(Cases for Equivalency will be considered);

  • Demonstrated knowledge and experience in general accounting required;
  • 35 years directly related work experience;
  • Operates in an environment that has mínimal supervision, requires flexibility, adaptability and problemsolving skills;
  • Knowledge of youth, women's services, settlement, adaptation and employment programs required;
  • Demonstrated ability to work under pressure and work independently;
  • Ability to manage the workload to support multiple programs;
  • Ability to work within an antioppression and feminist framework;
  • Ability to maintain a positive approach and a professional manner at all times;
  • Experience working within a multicultural environment;
  • Knowledge of and ability to trouble shoot computer hardware network connections;
  • Superior customer service, verbal and written communication skills;
  • Very strong organizational skills and detailoriented;
  • Marketing experience an asset;
  • Knowledge of another language an asset.
