The Project Coordinator will support the Project Manager (PM) in the delivery of PMO-led projects, with the option of managing small OPEX projects and/or executing autonomous scopes of work on larger OPEX/CAPEX programs led by the PMs, from initiation through to completion. The role will primarily be a supporting role in all stages of project delivery and will involve scheduling and on occasion chairing meetings; developing communications (progress reports, meeting minutes, presentation decks); document management (including storing and maintaining record documents); contract administration (producing, tracking and monitoring Change Orders, Design review comments, Payment Certificates, RFIs, Site Instructions). The roles will also involve monitoring and reporting on construction progress from time to time.

Job Responsibilities:

  • Support in the development and execution of comprehensive project plans, including defining project scope, schedule, budget, objectives and deliverables.
  • Support the PM in the management and day-to-day execution of tasks, ensuring alignment with project goals and timelines.
  • Manage and Control PMO's Project Management Software and Document Control Systems, and coordinate with the Project Team (internal and external) as required to resolve issues.
  • Ensure PMO staff are abiding by the file storage procedure and the document naming convention.
  • Engage with project stakeholders, including clients, team members, and external partners.
  • Support in the management of stakeholder expectations, communication, and feedback throughout the project lifecycle.
  • Support the PM in the monitoring and management of risks proactively
  • Provide regular updates on project progress, milestones, and any issues or changes. Updates can be either verbal (via meetings, presentations) or written (via emails, summary reports, dashboards etc)
  • Generate and distribute relevant and regular project reports to keep all parties informed.
  • Schedule meetings and distribute meeting minutes with action items and target dates, in a timely fashion.

Qualifications:

  • A university degree or diploma in engineering, architecture, construction management or project management (or an equivalent combination of academic and practical experience).
  • Working previously in an Engineering/Architectural firm or general contractor is preferred.
  • 1 - 3 years related project coordination experience is required.
  • Able to read, interpret and work with multi-discipline drawings and reports
  • Proficient use of Microsoft Suite, AutoCAD, Bluebeam and Adobe Acrobat
  • Experience with Document Management Software would be of benefit.
  • Experience on the site, working for e.g. as a Site coordinator or Foreman for a General Contractor
  • Experience as a Project Coordinator working for an Engineering or Architectural Consulting firm
