We are currently seeking an experienced Project Coordinator to join our rapidly growing company in Toronto, Ontario.

**DUTIES & RESPONSIBILITIES**:
**1. **Assist Project Managers as follows:
a. Monitor and coordinate project plans, project schedules, work hours, budgets, and expenditures.

b. Organize, attend, and participate in stakeholder meetings including taking and distributing of meeting minutes within (3) business days of the meetings.

c. Document and follow up on important actions and decisions from meetings.

d. Maintain and update regular tracking of baseline vs. actual construction schedules, anticipate schedule short-comings, and report to Project Manager.

e. Assist with accurate project procurement and tracking.

f. Create, issue, and track construction documentation (e.g. CCDCs, Shop Drawings, RFIs, etc) real time on a proactive basis using the construction management software system (e.g. Procore).

g. Prepare and maintain the trade list on a per project basis.

h. Issue and maintain purchase order documentation and update budgets as per Project Manager’s direction.

i. Set up newly awarded projects on RMC’s systems.

j. Initiate and maintain vendor compliance documentations prior to PO issuance.

k. Create and compile proper and complete invoices based on Project Managers SOV to include stat decs and WSIB.

l. Initiate and maintain project security clearance requirements with vendors and staff.

m. Acquire and compile product manuals, warranty letters, inspection reports, and certifications from sub-trades to create project close out packages.

n. Assist to maintain all documents and project logs, ensuring that all testing, inspection, and verification documents from the site are discussed with the Project Executive for distribution to the corresponding Designer/Engineer for review and approval.

o. Take calls and set up responsive action for post-construction client support on warranty issues.

p. Provide support and insight to the Project Managers and Site Supervisors.

**2. **Assist the Senior Estimator as follows:
a. Assist in finding new bid and pre-qualification opportunities continuously through various bidding portals (e.g., Merx, Biddingo, Vendor of Record (VOR) programs, etc.).

b. Assist Senior Estimator in preparing pre-qualification documentation.

c. Coordinate tender documents and plans for tendering.

d. Work with the Project Management Team through the project life cycle to monitor effectiveness of bid.

e. Co-ordinate with subcontractors and other related trades to prepare materials and labour cost estimates.

f. Cold calling sub trades and vendors to ensure adequate coverage is obtained at time of bidding.

g. Assist the Project Management Team to ensure accurate purchase orders are issued based on carried/negotiated subcontracts.

h. Maintain RMC’s master list of suppliers, contractors, and subcontractors.

i. Perform quantity take-offs when required.

**3. **Travel to multiple sites throughout Ontario for tender site walkthroughs.

Support all health & safety initiatives and be an effective workplace role model through the promotion of health & safety.

Other duties as assigned.

Pay: $60,000.00-$75,000.00 per year
