The OC manages day-to-day activities to ensure operations is running efficiently and meets the expectations and needs of clients and staff. May work on assignments related to project development and management initiatives, internal operating procedures, business process and policies, and health and safety. Responsible to support the VP, Operations and Centralized Operations team to monitor adherence to standardized processes and procedures across all branches and provide insight relating to opportunities for improvement. This role will also serve as a SmartSimple case management and reporting subject matter expert.Key Job FunctionsSenior Management Team Support: Prepares memos and presentations, processes expenses and coordinates occasional travel arrangementsReconciles invoices, expenditures, and expense reportsReviewing current service processes against best practices and current Ministry/Funder guidelines and implementing improvements when necessary.Assist in program delivery and oversight of all EO programs, including but not limited to COJG, Better Jobs Ontario, Employment Services, Skills Development FundMonitoring and measuring service outcomes, identifying problem areas, and recommending remedial action to the VP, OperationsMaintains all Agreements for all funded programs and coordinates and schedules all reporting and documentation submission timelinesOther duties as assignedCentralized Operations Support:Facilitates all purchases made with VPI Credit Card, including approval, invoicing and reconciliationSupports Finance and Branch/Department Managers with monthly petty cash reconciliationUtilizing and improving real-time dashboard reporting to monitor KPI’s, progress and to proactively identify potential service failures.Conducting Quality Assurance activity in accordance with company expectations.Reception and Office Management (in collaboration with Operations Team): Administers the overall office upkeep, equipment, and general maintenance of head office premisesMaintains and orders all supplies and subscriptionsMaintains updated list and primary contact for building management, office renovations, cleaners, and suppliers for all VPI locationsSources new vendors as and when requiredManages all incoming and outgoing mail, courier deliveries etc.Receives and directs all visitors of the head officeProvides facilities management support to all VPI branch locationsTo be successful in the role you will have:Minimum 3 to 5 years of administrative and/or office management experienceExperience working in the Employment Ontario model, specifically Integrated Employment Service Delivery/SSM, an assetDetail-oriented and highly organizedAbility to work independently with minimal directionEffective problem-solving skills to assess situations and information from multiple perspectivesAbility to manage competing priorities in a fast-paced environmentExperience working with confidential and sensitive informationExcellent written and verbal communication skillsEffective multi-tasker and detail-orientedAdvanced proficiency with MS ExcelExperience working with high volumes of data and ability to translate data into actionable insightsExperience with data visualizationStrong organizational and time management skillsAbility to prioritize competing tasks and targetsStrong initiative as well as desire for continuous growth and learningInterested candidates are encouraged to apply below
