How does the role impact the organization?
Raymond James Ltd. is seeking an Executive Assistant to join our Investment Banking team. Raymond James is one of North America’s leading publicly traded full service mid-market investment banks, offering equity, debt and advisory services to United States, Canadian and European clients.
The successful candidate will be a highly organized and detail-oriented individual who has a keen interest in working in a team environment. Drawing on previous experience, the ideal candidate will have a proven ability to take initiative, will possess exceptional communication and presentation skills and have a meticulous attention to detail. The Executive Assistant will report to the Administrative Supervisor, Executive Assistant, Investment Banking and be responsible for a number of duties that are critical to the operations of the team.
What will your role be responsible for?
- Book travel arrangements, hotels and transportation for the team as well as clients;
- Answer telephones, route callers, take messages and provide routine information to callers;
- Coordinate meetings with internal staff and make arrangements for meetings with clients;
- Assist in arranging internal and external zoom meetings, conference calls and select events;
- Update, maintain and schedule appointments in team calendars;
- Prepare and print reports for internal and external purposes;
- Maintain contacts, calendars and schedules in outlook and other systems;
- Work with Word, Excel and PowerPoint to edit, format, print and revise letters, memos, presentations, labels, forms and other documents as required;
- Be responsible for preparing and submitting expense reports;
- Maintain databases, records and files for efficient operation of the department;
- Assist the Investment Banking team in providing timely, confidential and professional service to all clients both internal and external; and
- Other duties as assigned.

What do we expect from you?
To qualify for this opportunity you possess:
- Post-secondary education;
- Minimum of 5 years of experience in an administrative role with 3 years of experience in the financial services / investment banking / corporate finance industry;
- Excellent proficiency with MS Office software, including Excel, PowerPoint, Outlook and Word;
- Excellent verbal and written communication skills;
- Initiative and the ability to work both independently and as part of a team;
- Exceptional organizational, multi-tasking and prioritization skills;
- Ability to work in a professional and confidential environment, exercise discretion and tact;
- Able to manage high volumes of work while maintaining accuracy;
- Adaptability to work in a constantly changing and highly demanding environment;
- Keen attention to detail; and
- A positive, enthusiastic and energetic attitude, motivated by the opportunity to work in a challenging and demanding work environment.
