You will be the subject matter expert on procurement policy and procedures as well as strategic sourcing and advise internal clients accordingly. You will work with management to integrate planning and procurement, purchasing practices and supply chain management to drive operational and cost efficiencies and ensure practices are aligned with business objectives. You will also work on day-to-day tasks pertaining to Facilities Management, including but not limited to providing coverage to the Facilities team during vacations or absences. Strong communication and excellent organizational skills are a must for the role. What You’ll Be Doing Work on strategically generating a procurement savings pipeline of projects for assigned categories in close collaboration with internal stakeholders and aligned with business objectives (strategic sourcing).Update the vendor pre-qualification process including updating the pre-qualification packages and evaluation criteria by category in consultation with Procurement Management.Manage the procurement pipeline of projects for assigned category and related sourcing initiatives.Under the leadership and in close collaboration of the Procurement Manager, the Category Specialist will formulate and execute sourcing strategies for assigned categories, mainly for Software purchases (SaaS, PaaS, Cloud, OnPrem).Provide expertise in the preparation of RFx documents, SLAs and contracts for specific Sourcing events as assigned.Support some day-to-day Facilities Management tasks as assigned, including providing coverage during vacations and absences of the Facilities personnel.Work with stakeholders from teams other than IT a need-basis, to support the procurement activities, as assigned by leadership.Provide expertise, advise, training and execution on the Purchase Requisitions / Orders creation, invoice validations and reconciliation against budgets and consumptions across categories.Perform day-to-day purchasing operations tasks to support the business.Ensure the integrity, reliability, timeliness and accuracy of financial data, reports and cost analyses pertaining to RFx, approvals and procurement systems.Work closely with finance and lines of businesses during annual budgeting process to ensure accurate and timely vendor information. Conducts low to medium procurement negotiations involving agreements on terms and conditions as well as prices and schedules.Follow up, expedites, and negotiates changes relative to delivery and supplier performance.Facilitate and support the contract award process, which will include the drafting of RFx materials, management and issuance of bid process documents, the vendor selection process and support of ongoing vendor management.Establish and manage assigned roster of approved suppliers, managing the full acquisition, negotiation, and implementation process with the Procurement Manager’s support.Oversee the implementation of our strategic sourcing agreements and identifying areas of savings and process improvements through contract consolidation, outsourcing, and other opportunities.Manage and consolidate vendor scorecard development and performance reviews with key stakeholders.Ensure that vendors are providing reports on applicable programs.About YouUndergraduate degree or diploma in supply chain, business administration, finance, or a closely related field.5+ years of IT Procurement experience (Direct and Indirect purchases)Certified Public Procurement Officer (CPO) or Supply Chain Management Professional (SCMP) designation is desirable but not mandatory.Thorough understanding of purchasing best practicesAdvanced knowledge in preparation of bid documents; leading evaluation teams in review of documentsExperienced with VAR’s and OEM relationships, mainly for Software purchases (SaaS, PaaS, Cloud, OnPrem)Ability to conduct training sessions and give guidance and direction is desirable.Excellent mathematical and technical aptitude: high fluency in MS Excel, Word, PowerPoint, Outlook mandatory; Access, Project, Visio, Power BI will be an asset.Strong Negotiation skills along with excellent writing skills; strong analytical and complex problems solving skills.Strong interpersonal skills to deal tactfully with external and internal stakeholders.Market intelligence and internal spend analytics to determine Procurement strategy.Solid understanding of vendor relationship management best practices, vendor obligations, and service level agreements defined in all contracts.Assessing, defining, and resolving complex procurement issues, including contract terms & conditions and escalations by internal stakeholders and suppliers. Formulate solutions and consult or advise the Procurement Manager when necessary.Knowledge of on-line procurement systems (Workday, preferred), purchasing experience related to IT (Software, Hardware, Cloud).
