REPORTS TO:  Facility Engineering Manager 
HOURS:  Full-time , 40 hours weekly 
The Maintenance Administrative Assistant plays a crucial role in supporting the maintenance team by efficiently helping to manage the parts inventory, coordinate parts & work orders, and provide general administrative assistance to ensure the smooth operation of the maintenance department. They will assist in facilitating the procurement, distribution, organization and records of all parts and materials needed for maintenance activities. 
Assist the maintenance team with a variety of administrative tasks, including data entry, record management, schedules, filing, and correspondence.
CMMS system data entry and assisting Maintenance Techs to document maintenance procedures.
Maintain accurate inventory records of all parts and materials.
Collaborate with Maintenance Techs to conduct regular inventory audits.
Operate and control a parts crib providing the parts to Maintenance Techs as required.
Ensure timely delivery of parts to meet maintenance department needs.
Collaborate with maintenance technicians to understand their parts needs and preferences. 
Keep detailed records of purchases, receipts, and inventory transactions.
Follows all company policies and procedures. 
Working in both an office and storage space within the manufacturing environment. 
Exposure to seasonal temperature changes (heat/cold), loud noises, and moving machinery.
Use of personal protective equipment (PPE) in the manufacturing facility to include but not limited to, gloves, safety glasses, steel toe foot protection, hearing protection, and hard hats.
Previous experience in parts coordination or related administrative role is preferred.

  Proven experience in administrative roles, preferably in a maintenance or parts coordination capacity.
Proficient in using office software and inventory management systems.
Familiarity with maintenance and parts terminology is an asset.
LANGUAGE SKILLS
~ Must speak, read, and write in English equivalent to the OECD Level 3 or higher.
