The Hon. Rob Oliphant, P.C., M.P. – Don Valley West

Rob Oliphant is seeking candidates for the position of Constituency Assistant for his office in Toronto. Deadline for applications is May 16, 2024.

Reporting to the Member of Parliament, with direction from the Constituency Office Manager and Immigration Specialist, the Constituency Assistant engages in constituency outreach work with neighbourhood and business organizations, casework for individuals resolving issues related to the federal government and provides administrative support for the Member along with other members of the constituency team.

About the job

Communications:

  • Assist with communications products such as householders, articles, e-blasts, and constituency mail-outs as required; manage smaller design projects such as contact cards, calendars
  • Assist with correspondence (research, writing, tracking) and written greetings from the MP
  • Oversee and produce the MP’s videos and photography and catalog the videos and photos
  • Write social media posts related to the riding –this includes assisting with the management of Facebook, Twitter, Instagram, LinkedIn accounts and MP’s website

Casework and Outreach:

  • Assist with constituency casework regarding immigration and other federal government programs as assigned by the Constituency Office Manager and Immigration Specialist, ensuring cases are dealt with in a sensitive, confidential and timely manner.
  • Serve as the key liaison with issues related to the City of Toronto, the GTA and local bodies and authorities at the direction of the Member
  • Participate in meetings with constituents, stakeholders, and interest groups
  • Coordinate and schedule meetings with stakeholders, completing follow-ups as required.

General:

  • Serve as a first point of contact for constituents seeking advice or help from the Member of Parliament
  • Serve as the MP’s aide on visits to organizations and stakeholders in the riding
  • Assist with planning and execution of community events
  • Manage and update constituency records for correspondence (email, mail, telephone), casework and the riding profile, engaging office volunteer as appropriate
  • Ensure that constituents who contact the Constituency Office receive a timely response to inquiries
  • Keep current with local events, community organizations’ websites, local media and share with the team
  • Prepare briefing notes on topics as required by the MP
  • Assist in the recruiting, training and supporting of volunteers for office and community activities
  • Assist with special projects that aim to improve the effectiveness of the office’s administrative operations
  • Have responsibility for the management of Constituency Office supplies and procurement

Ideal candidate will:

  • Have superior organizational skills, administrative skills, and an ability to multitask
  • Be able to write clearly and concisely and communicate verbally to constituents and stakeholders in a respectful and knowledgeable manner
  • Have knowledge of and/or interest in the communities of Don Valley West
  • Be able to work as part of a team as well as on solo projects and show initiative
  • Be self-motivated and able to work efficiently under pressure, respond to short-term demands and adapt to new situations
  • Have strong critical thinking skills, attention to detail and problem-solving abilities
  • Display exceptional judgment and interpersonal skills
  • Be discreet when interacting with the public and stakeholders
  • Be able to work evenings and weekends as required
  • Possess superior knowledge of the Microsoft Office suite (Outlook, Word, Excel, Publisher)
  • Have completed post-secondary education from a recognized institution or an acceptable combination of education, training, and relevant experience

Working Conditions:

  • This is an in-person position.
  • Full-time; evening and weekend work may be required.
  • Primary location of work: Toronto

Salary:

  • Compensation is dependent on qualifications and experience.
