Position Overview

A regular full-time positionis available in the Clerk’s Office for a Records Management Clerk to be responsible for the day-to-day maintenance of a corporate records management system. The incumbent will:

  • Perform routine records management tasks such as arranging, classifying and describing documents; updating and maintaining the records classification and retention schedules; filing, retrieving and scanning records.
  • Maintain the semi‐active records storage room and archival space; ensure that documents are stored safely and securely and that items are returned in good order; arrange for the retrieval of off‐site records; assist in the transfer of records and moves files and boxes as required.
  • Provide input to new and amended policies and procedures pertaining to records management for both electronic and paper documents; recommend amendments to classifications.
  • Provide information and assistance to departments on established records management procedures and the use of the electronic document management system; assist in the delivery of records‐related training.
  • Assist with processing requests for access to information from the public.
  • Perform a variety of miscellaneous clerical tasks in support of departmental operations as directed by a superior.
  • Perform related work as required.
The incumbent will have sound knowledge of the rules, regulations, practices and procedures governing records management and archival operations; sound knowledge of legislative requirements relating to the management of records and privacy; sound knowledge of the corporate and departmental records management and archival systems related to the work; sound knowledge of relevant software applications such as MS Word, Excel, and Outlook. Practical experience of working with an electronic records management system (e.g., OpenText eDocs). With minimal supervision, the incumbent will also be required to perform project work and develop recommendations related to records management procedures and methods; ability to coordinate activities relating to extensive records and storage systems for effective retrieval; ability to establish effective working relationships with internal and external contacts and explain and interpret rules and regulations governing records management operations; ability to search records, compile information and prepare related reports; and be able to compose non-routine correspondence and type a variety of complex documents.

Qualifications

Education requirements include Grade 12 supplemented by courses in records and information management, plus sound related experience or an equivalent combination of training and experience. A valid BC Driver’s licence is also required. Adaptability and enthusiasm to take on new challenges is paramount.

Salary: The pay range for this unionized position is $31.97 – $37.58 per hour (2024 rates)

Hours of Work: 35-hour work week (Compressed work schedule available)
