Function & Overview 

Under the supervision of the Unit Manager – University, the Unit Coordinator – University enhances program success, community engagement, Ogwehoweh language promotion and normalization, assists the teaching staff and students, and supports the overall unit in meeting deadlines and accomplishing regularly scheduled tasks throughout the year according to the Academic Calendar key dates. The Unit Coordinator- University is required to perform all duties consistent with the governance values and operating policies of Six Nations Polytechnic (SNP) while fostering positive relations with staff, students, stakeholders, and the community; contributing to a culturally supportive teaching, learning and work environment consistent with Hodinǫshǫ:nih/Rotinonhson:ni values of Ga’nigohi:yo:/Kanikoriio (Respect and the Good Mind).  

Duties 

The duties of the Unit Coordinator – University include, without limitation:

Community Engagement 

  • Organizing community engagement events and language workshops; 
  • Tracking workshop registration and sharing lists of participants with other units such as the Registrar’s Office; 
  • Organizing teaching staff professional development workshops; 
  • Assisting with hosting language cafes for teaching staff and students to build a speaking community that is inclusive of all language learners; 

Program Planning, Delivery & Quality Assurance

  • Organizing and developing a language learning resource library;
  • Assisting in the delivery of courses, workshops, and other events related to program administration; 
  • Assisting with the onboarding of new full-time staff and part-time teaching staff; 
  • Organizing room bookings and space planning for classes and workshops;
  • Ensuring that all classes have Learning Management System (i.e., D2L/Brightspace) course shells and are set-up for course delivery; 
  • Ensuring teaching staff e-mail and LMS credentials are issued; 
  • Distributing course outline templates to teaching staff and receiving the revised version back for review and approval prior to classes starting; 
  • Coordinating Instructor orientation and training including training on D2L and Microsoft for all teaching staff and as requested by teaching staff; 
  • Notifying Information Systems of a current list of teaching staff each year to update the distribution list; 
  • Helping teaching staff troubleshoot technology issues as needed; 
  • Supporting the 18-Month Program Plan for all program, course, and workshop offerings; 
  • Ordering textbooks, office supplies, and other learning resources as required; 
  • Generating syllabi templates for each scheduled course; 
  • Collecting and checking submitted syllabi for correct and complete formatting; 
  • Preparing contract drafts for hiring of teaching staff; 
  • Updating the university contacts list; 
  • Distributing and collecting mid-term and final course evaluations; 
  • Inputting data from the course evaluations into the review spreadsheet; 
  • Grades processing, including identification of students at risk of not progressing; 
  • Acting as exam proctor if needed; 
  • Archiving D2L shell courses;
  • Collecting end-of-term documents from teaching staff, including attendance, course evaluations, copies of exams, grades, and coursework as required; 
  • Supporting the annual program review and other quality assurance processes which may include coordinating focus groups and documenting strategic recommendations that enhance language acquisition and/or program goals; 
  • In each term, facilitate Instructor and Teaching Assistant orientation sessions, onboarding new and welcoming back returning (contract) teaching staff; and update the Teaching Staff Handbook (Six Nations Campus); 
  • In conjunction with the Registrar’s Office and Student Affairs, act as degree and language sub-degree programs lead/representative in the cross-Unit academic audit process in each term, identifying learners eligible to progress; and in the cross-Unit degree audit process at the end of each academic year, identifying candidates to graduate; and represent the interests of the Unit’s teaching and learning community on the Convocation & Annual Celebration Planning Committee; 

Communications & Records 

  • Maintaining the Unit’s Microsoft Outlook calendar, consistent with black-out dates, key dates, project deadlines, holidays, and the Academic Calendar; 
  • Overseeing the Unit Almanac to keep the unit on track with its regularly scheduled deadlines; 
  • Answering all questions/enquiries externally and internally regarding University programs; 
  • Acting as payroll liaison for teaching staff as needed; 
  • Serving as liaison to other units including Registrar’s Office, student affairs, facilities, communications, reception, finance, and information systems; 
  • Managing meeting agendas and minutes; 
  • Overseeing the marketing strategy to ensure enrolment targets are being met and all marketing content is updated regularly; 
  • Sharing updates and events in staff meetings; 
  • Coordinating monthly unit meetings; 
  • Preparing cheque requisitions and purchase orders; entering data into the unit budget; 
  • Preparation of, but not limited to, internal progress reports, general staff meeting updates, and annual board reports as it pertains to the University Unit; 
  • Assisting with the organization of conferences and events, as required; 
  • Assisting in the delivery of programming and other events outside of standard office hours; ability to host workshops, classes, or events in the evenings; 
  • Participating in the planning and delivery of student Orientation, Convocation and Annual Celebration, as well as community and other events; 

General Administration 

  • Participating in staff, Board, ad hoc and ordinary committees, working groups, and program advisory meetings; 
  • Participating in professional development, staff training and information sessions, as required; and 
  • Other related duties, as required. 

Qualifications 

Education & Experience

  • Background in teaching or learning Kanyen’kéha / Gayogo̲hǫ́:nǫˀ language(s); 
  • Administrative leadership experience preferred; and 
  • Grade 12 Diploma or equivalent. 

Knowledge, Skills & Abilities

  • Ability to speak and understand Kanyen’kéha / Gayogo̲hǫ́:nǫˀ at an approximately intermediate level is an asset; 
  • Willingness to increase their own Kanyen’kéha / Gayogo̲hǫ́:nǫˀ speaking proficiency; 
  • Demonstrated competencies in high level of strategic thinking, problem solving, and coordination; 
  • Ability to work under pressure and manage schedules, portfolios, and timelines, to meet demanding deadlines; 
  • Excellent communication skills with an emphasis on written expression (i.e., faultless spelling and grammar, and professional style); 
  • Sound interpersonal skills including communication, organization, negotiation, confidentiality, and professional judgement; 
  • Proficiency with standard desktop computer programs, including Microsoft Office Suite on Windows 2010 (or later); 
  • Capacity to work both independently and in a team setting, demonstrating Hodinohsó:ni values of Ga’nigohi:yo:/Kanikoriio and interconnectedness; and 
  • Knowledge of Hodinohsó:ni history, culture, values, contemporary issues, and community priorities.
