POSITION SUMMARY:This position has a wide range of duties from office organization, information management, accounting and billing, internal reporting, reception, administration and project coordination support. Overall, this position provides a high level of support to the entire organization and in particular to the Management Team. ACCOUNTABILITIES:Office Coordination and Reception: Oversee daily office operations, including maintaining office supplies, managing correspondence, and ensuring a clean and organized workspace.Communication: Serve as a point of contact for internal and external communications, including answering phone calls, responding to emails, and handling inquiries.Documentation and Reporting: Prepare and manage documents and reports. Project Support: Assist in project administration, such as opening and closing projects, track progress, and ensure deadlines are met.Financial Administration: Handle basic financial tasks such as processing invoices, processing payments and financial reportingInternal Support: Provide administrative support to various team members as needed, including assisting with travel arrangements and coordinating deliveries Human Resources Administration: Assist in HR functions such as maintaining employee records, coordinating recruitment processes, onboarding new employees, and organizing training sessions. Ensure HR policies and procedures are followed. Manages paid time off. Human Resources Coordination: Support HR initiatives and projects, including employee engagement activities, performance review processes, and benefits administration.PROFICIENCIES/ATTRIBUTES:Cheerful and professional.Good sense of humour.Adaptable and flexible. Ability to meet deadlines in a fast-paced environment. Creative and imaginative in day-to-day work.Excellent written and interpersonal communication skills.Works well independently and as a group.Possesses passion for his/her job, professionalism in your role and a drive to excel. Familiar with standard office management concepts, practices and procedures.Must be proficient in Microsoft Office and technical software programs for troubleshooting.Project coordination skills.Good judgment in all aspects of the job.Lives WJ values through day-to-day actions and behaviors.QUALIFICATIONS:1-5 years experience in similar role Proficiency and understanding of AR/AP Procedures. Proficiency in all Microsoft Office applicationsBBA or similar preferred
