Our client is searching for a Senior Property Administrator to join their team. This role will support the management of a portfolio of commercial properties. A successful candidate will have a strong background in tenant relations, maintenance coordination, and administrative tasks.

Your Success Will Be Defined By Your Ability To

  • Provide administrative and operational support to the Property Manager, including drafting correspondence, coordinating site maintenance, and maintaining accurate records
  • Foster and maintain positive relationships with contractors, suppliers, and service providers
  • Coordinate maintenance and repair activities, working closely with vendors and ensuring timely completion of work orders
  • Be available after hours, on a rotating basis, for site and tenant emergencies, coordinate services required to mitigate injury and damage
  • Monitor existing service contracts and upcoming renewals
  • Collect and track vendor certificates of insurance and WCB letters, as necessary
  • Build positive relationships with tenants, addressing inquiries, concerns, and maintenance requests in a timely manner
  • Track and distribute lease documents, create new tenant files, update tenant contact list, and prepare welcome packages to new tenants
  • Prepare for distribution of tenant letters, rental advice notices and year end reconciliation packages
  • Collect and track tenant certificates of insurance
  • Communicate property policies, procedures, and updates to tenants
  • Prepare and keep current all monthly receivables reporting
  • Manage all tenant cheques and deposits, including bank runs
  • Prepare and track purchase orders, code property invoices, and investigate discrepancies
  • Prepare tenant chargeback invoices for services provided outside of the scope of the lease
  • Monitor tenant Security Deposits and application to tenant accounts
  • Contribute to the preparation of property budgets and monitor expenses

  • Assist in compiling property tax information for appeals and municipality reporting
  • Collect and update tenant sales reports

Your strengths improve:

  • Post secondary certification in business administration, real estate management, or a related field is preferred
  • Valid class 5 driver’s license as the position includes travel to site within Alberta
  • 5+ years of proven experience in property management, with experience both in commercial and residential properties is an asset
  • In-depth knowledge of property management principles, leasing practices, and landlord-tenant laws
  • Strong organizational skills, with the ability to prioritize effectively
  • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with tenants, vendors, and team members
  • Proficient in property management software, experience with Spectra is considered an asset
  • Detail oriented with exceptional problem solving and decision making abilities
  • Familiarity with local building codes, safety regulations, and industry best practices
