Role Overview As the Safety and Compliance Specialist you are responsible for overseeing and managing all aspects of safety and regulatory compliance for our transportation and logistics operations. This position ensures that the company complies with DOT (Department of Transportation), FMCSA (Federal Motor Carrier Safety Administration), OSHA (Occupational Safety and Health Administration), and MTO (Ministry Of Transportation), while also promoting a culture of safety across all departments. Essential Duties and Responsibilities Safety Act as the escalation point for driver safety concerns and unresolved issues, ensuring timely resolution. Oversee Hours of Service (HOS) compliance and provide support with ELDs Generate and manage telematics reports, monitor alerts on Samsara regularly, and maintain safety documentation in TenStreet, including warning letters and inspection reports. Conduct quarterly Abstract and CVOR reviews to ensure driver compliance. Manage accident reporting and documentation during and after office hours, including incident reporting for insurance claims. Assist with IFTA filing and related regulatory compliance. Perform regular fleet audits and inspections to uphold safety standards. Lead safety and inspection workshops to educate and engage drivers on best practices. Terminal Health and Safety Management Oversee daily safety operations across terminals and offices, ensuring compliance with OHSA, WSIB, and company standards while maintaining all related documentation, postings, and policies (including SDS, WHMIS, and emergency contacts). Conduct workplace inspections, hazard assessments, and follow-ups, leading emergency preparedness initiatives such as fire drills, first-aid response, and incident management. Lead or support incident and near-miss investigations, complete root cause analyses, and implement corrective and preventive actions while tracking key safety KPIs and compliance dashboards. Coordinate onboarding and refresher safety training for all staff (drivers, yard, and office), maintain the training matrix (WHMIS, PPE, First Aid, Ergonomics, CVOR), and facilitate toolbox talks and safety meetings to promote a culture of accountability and improvement. Partner with the Fleet Manager and leadership team to analyze safety performance, support audits and compliance reviews, and drive proactive risk mitigation strategies. Serve as JHSC Co-Chair or management representative, scheduling and documenting quarterly meetings and inspections, maintaining minutes, and ensuring timely follow-up on recommendations. Compliance Manage and maintain Samsara and Electronic Logging Devices (ELDs) systems. Oversee accident and incident reporting to ensure timely and accurate documentation. Prepare monthly reports on SMS and CVOR scores, setting targets and tracking progress toward goals. Ensure driver compliance with safety standards and promote safe driving practices. Coordinate and conduct random drug and alcohol testing in accordance with regulations. Maintain and update driver binders with all necessary documentation. Manage permitting processes to ensure regulatory compliance Coach and monitor driver performance to support continuous improvement and safety adherence Skills and Attributes You pay exceptional attention to detail, ensuring accuracy in reporting and analysis. Qualifications A minimum of a college diploma from a recognized post-secondary educational institution. 2+ years’ experience in a Safety and Compliance role, within the transportation and/or logistics industry strongly preferred. Proficiency utilizing the Microsoft Office suite (Word, Excel, Outlook). Effective communication skills, both written and verbal. Demonstrated interpersonal skills with a desire to build and maintain relationships. with corporate and front-line employees. Proven ability to prioritize and manage multiple priorities in a dynamic environment.
