Role Description

This is a full-time remote role for an Operations Specialist. The Operations Specialist will be responsible for managing and optimizing the production, distribution, and quality assurance of our digital content. The Operations Specialist will also collaborate with cross-functional teams to identify and resolve operational issues, and will work closely with project managers, developers, and designers to ensure high-quality and timely delivery of digital products.


Qualifications

  • Bachelor's degree in Business, Operations Management, or a related field
  • 2+ years of experience in operations, project management, or related field
  • Strong analytical, problem-solving, and organizational skills
  • Ability to work independently and in a team environment
  • Excellent communication and interpersonal skills
  • Proficiency in project management tools, such as JIRA, Trello, Asana, or MS Project
  • Experience with content management systems, such as WordPress, Drupal, or Joomla
  • Experience with quality assurance processes and tools, such as TestRail, Selenium, or HP Quality Center
  • Experience with agile methodologies, such as Scrum or Kanban, is a plus
  • Experience in the digital publishing or media industry is a plus
  • Experience working with remote teams is a plus

Operations Specialist

Mission:


To support, propose, and drive execution of beeline Operations field initiatives and objectives including, but not limited to, creative operations, rollouts, partner communications, and system related topics.


Scope:


The Operations Specialist reports directly to the Senior Manager of Creative Operations. This is an exempt position that does not have direct reports. The position is responsible for all internal creative operations communication and supports North America functions in collaboration with global partners.


Role Expectations:


  • Facilitate project planning and communication globally for Creative operations team independently.
  • Support and maintain Sales Force Chatter groups, create chatter messages and uphold strong SalesCom relations to improve ISC communication to field employees.
  • Support various activities of ops rollout management, including surveys, system setup, communication, coordination for test and further rollouts for existing partners.
  • Create and maintain POS master data in SAP, and Touchpoint applications, updating as directed by KAM, Logistics, and Field Team.
  • Organize qualitative communication for creative OPS team by collecting data on consumers, competitors and marketplace. Consolidate information into actionable items, reports and presentations.
  • Support and follow up with timing and communication of Sale Return for I AM NA & Old Navy.
  • In partnership with ISC colleagues, create process related to OPS supplies for rollout support.


Immediate Critical Outcomes:


  • Basic understanding of operational resources and organizational structure. (First 30 days)
  • Thorough understanding of internal operations systems and processes and intercompany collaboration. (First 30 days)
  • Independent execution of regular Sales Communication tasks. (First 30 days)
  • Identification & establishment of appropriate calendar-planning tools and self-organization processes necessary to effectively carry-out critical responsibilities. (First 60 days)
  • Independent execution of technical SAP tasks, including but not limited to enriching POS, POS set up, and master data maintenance. (First 90 days)

  • Experience working in a matrix environment involving collaboration with many teams.
  • Demonstrated proficiency in Microsoft Excel, PowerPoint, Word, and Teams.
  • Experience in preparing correspondence and other written materials.
  • Customer service experience to support a local and remote team.
  • Experience working in a fast-paced rapidly-growing environment.
