Your Role

Reporting to the Sales and Marketing Manager, the Sales Administrator will play a pivotal role in supporting the sales team by managing the administrative tasks, facilitating communication between sales representatives and potential homeowners, and ensuring the smooth operation of the sales process.


To excel in this role, the ideal candidate will be detail oriented, can execute in a fast-paced environment, strong ability to multitask, highly organized, strong interest in learning new software systems, enjoys working with a team and supports the company’s commitment of Building Visionary Communities.


Responsibilities:

  • Review new agreements of purchase and sales and maintain digital purchaser files.
  • Assist the sales team with administrative duties, such as preparing contracts, purchase agreements and addendums.
  • Coordinate with other departments, such as Construction, Finance, Marketing, Legal, Home Service and Homeowner Experience, etc. to facilitate smooth communication and workflow.
  • Input all pertinent sales information into Newstar Sales in a timely manner including new sales, sales amendments, etc. Ensure accuracy of all Purchase Agreements prior to submitting to for approval and signing.
  • Monitor, track and report on outstanding purchaser payments and mortgage approvals.
  • Input and maintain purchaser information in CRM system, HubSpot.
  • Liaise with legal department and external legal counsel on purchaser files and requests.
  • Assist with launch of new communities including critical path, Newstar Sale set up, Salefish set up, Agreement of Purchase and Sale preparation, New Home Centre preparation and training for New Home Sales Managers.
  • Attend all community launches and events as required.
  • Maintain Newstar Sales and Salefish with up-to-date community information.
  • Responsible for ensuring that New Home Sales Centres are equipped with office supplies, marketing materials, digital sales tools, etc.
  • Assist Sales & Marketing Manager with implementation of new sales operation processes.
  • Ongoing review of Cachet Homes website for content accuracy and updates.
  • Assist with Sales and Marketing deliverable objectives as required, review of marketing collateral, emailers, website updates, etc.


What You Bring:

  • Post-secondary education, preferably in Business Administration, Sales, or related field.
  • 2+ years of Administrative Experience
  • Experience within the homebuilding industry is preferred. Knowledge of new home sales processes, construction processes and real estate is an asset.
  • Proficient in Microsoft Office including Excel, Word, and Teams.
  • Experience with Newstar is an asset.
  • Experience with SaleFish is an asset.
  • Experience with HubSpot is an asset.
  • Valid Drivers licence and vehicle required.
  • Strong analytical, organizational, and critical thinking skills, such as “thinking outside of the box”
  • Solid communication, interpersonal and customer service skills with the ability to interact effectively with clients, sales representatives, and internal stakeholders.
  • Superior organizational and time management skills
