**Company Overview**:
Temspec Inc. is an original equipment manufacturer (OEM) of heating and cooling equipment for the North American school and high-rise condominium/hotel markets.

Under the guidance of the Director of Sales and Marketing, the Sales Administrator is responsible for performing all administrative functions for the sales and marketing department including part sales.

**General Responsibilities**:

- Adhering to all Company policies and regulations including core values: Fair and caring, Reliable and Accurate, Consistent and Curious.
- Displaying professionalism and representing Temspec to customers and associated contacts.
- Providing office & sales support to the Sales Team
- Data entry
- CPQ implementation
- Schedule Updates
- Customer Maintenance
- Contact partners to obtain missing information or answer queries.
- Warranty/Parts
- Process Orders: Follow the Quote to delivery of the Job.
- Check accuracy in orders.
- File creation (Coloured Files)
- Visual/CRM inputs/OJSR
- Liaise with logistics (Shipping/Storage)
- Performing Research
- Marketing Activities
- Brochures/Catalogue update
- Marketing events
- Marketing material
- Working on the Temspec website and LinkedIn page including website updates, catalogue updates, and other marketing material deemed appropriate.
- Responsible for receiving and processing all parts sales and warranty claims.
- Participates in and achieves company directives and goals.
- Liaison between the customer, purchasing, and engineering departments to determine product status, cost, and price while keeping all relevant parties informed.
- Performs administration functions such as part order entry, invoice entry, purchase order filing, sales information, and analysis.
- Keeping the Director of Sales & Marketing informed of customer, product & market issues, and trends.
- Working with Director of Sales & Marketing on marketing media
- Coordination of customer and Temspec employee travel, lodging, meals, and entertainment
- Efficiently respond to inquiries over the phone while building positive relationships with customers
- Send out new customer packages.
- Dodge Analysis (if applicable)
- Other duties as assigned.

**Qualifications**
- Engineering/Technologist background is preferable.
- Relevant experience in HVAC/Manufacturing/Distribution.
- Experience in Customer Service and Administration
- Proficiency with Microsoft Office particularly Word, Excel
- Experience with ERP software i.e., Visual (considered an asset)
- Excellent communication both written and verbal
- Excellent interpersonal skills with the ability to communicate at all levels.
