Regulatory & New Product Development Manager (Cosmetics)

As a Regulatory and Product Development Manager, you'll be a member of the NUDESTIX product development team, working in a fast-paced environment to ensure the creation of new cosmetic products
Key Responsibilities
Team and Department Leadership
Manage and lead a team of QA/QC, NPD, regulatory, and marketing operations professionals including hiring, providing guidance, training, and performance evaluations to ensure a high level of productivity and efficiency within the departments.
Develop and manage budgets within the relevant departments, including forecasting expenses, optimizing costs, and identifying cost-saving opportunities without compromising service quality.
Collaborate cross-functionally with various departments to ensure alignment and coordination in achieving overall business objectives.
Communicate effectively with internal teams, external partners, and stakeholders regarding all operational departments.
Foster a culture of innovation and operational excellence within the organization by encouraging ideation, experimentation, and collaboration across teams.
Build and maintain strong relationships with external partners, including suppliers, contract manufacturers and industry experts, to leverage expertise and enhance product development and operational capabilities.
Develop and implement key performance indicators (KPIs) to track performance, monitor metrics, analyze data, and report on outcomes to senior management.
Lead brand, team and product development with a sustainable mindset and ethos.
Quality Assurance (QA)
Develop and implement quality assurance strategies, policies, management system and procedures to meet regulatory requirements and industry standards and Health Canada Natural Health Products site license and to ensure compliance with ISO, GMP, and GDP standards.
Establish quality standards, conduct regular audits, and ensure consistent product quality across all manufacturing sites.
Lead non-conformance investigations, implement corrective and preventive actions (CAPA), and track progress to mitigate risks.
Oversee and review quality processes and documentation, including batch testing, stability studies, and release protocols, ensuring adherence to global quality benchmarks.
Train cross-functional teams on quality processes, fostering a quality-first mindset across the organization.
Investigate and resolve customer complaints related to product quality or safety concerns.
Oversee the maintenance of a robust quality management system, including document control, change control, and risk management processes.
Manage and oversee product recalls, if necessary, by coordinating with relevant departments and regulatory agencies.
Represent the company during regulatory inspections and audits, ensuring compliance and addressing any findings.
Regulatory Affairs
Monitor, interpret, and ensure compliance with cosmetic regulations globally (e.g., US FDA, Health Canada, EU Cosmetics Regulation, ASEAN, GCCC).
Manage regulatory documentation, including Product Information Files (PIFs), ingredient compliance reviews, and product registration dossiers.
Oversee the regulatory submission process for new product registrations or notifications, including compiling and submitting necessary documentation to regulatory authorities.
Review and approve product labels, packaging, and promotional materials to ensure compliance with regulatory requirements, including ingredient listings, warnings, claims, and cosmetic allergen labeling.
Assess the safety, efficacy, and regulatory status of cosmetic ingredients to ensure compliance with applicable regulations, such as determining ingredient restrictions, prohibited substances, and maximum allowable concentrations.
Oversee the safety assessment of Nudestix products, including evaluating toxicological data, conducting risk assessments, and monitoring adverse event reports to ensure the safety of the products.
Ensure timely product claims substantiation and manage labeling requirements in compliance with global regulations.
Collaborate with RCD and marketing teams to ensure product claims are both regulatory- compliant and aligned with brand positioning.
Act as the primary liaison with regulatory agencies, maintaining strong relationships to address inquiries and approvals proactively.
Health & Safety (H&S)
Develop and implement health and safety policies, ensuring workplace compliance with local and national in collaboration with Human Resources
Conduct regular safety audits and risk assessments, ensuring a safe working environment across all operations.
Oversee the safe handling, storage, and disposal of raw materials and chemicals as applicable in the facilities.
Lead incident investigations and implement safety improvement measures to mitigate future risks.
Foster a culture of safety awareness through training programs and regular communication with employees at all levels.
Product Development s Commercialization (PD)
Conduct market research, consumer insights analysis, and competitive benchmarking to identify product opportunities and formulate innovative concepts.
Collaborate with the executive team to define product development priorities and allocate resources effectively.
Lead the end-to-end product development process for new SKUs, from concept to commercialization, ensuring alignment with brand vision, quality, and regulatory standards.
Develop and execute commercialization strategies to ensure timely product launches and effective go-to-market support.
Collaborate with RCD, marketing, and manufacturing teams to drive innovation while maintaining compliance and quality.
Set clear project timeliness, milestones, and deliverables and monitor progress to ensure timely completion within budget.
Manage supplier and vendor relationships, ensuring ingredient sourcing aligns with sustainability and ethical standards.
Oversee the development of product prototypes, manage pilot batches, and ensure seamless scale-up to full production.
Monitor project timelines and budgets, ensuring all commercialization activities align with product launch goals.
Work closely with marketing and sales teams to develop robust product launch plans, including regulatory and quality compliance for packaging and promotional materials.
Marketing Operations
Act as the primary liaison between Marketing, Operations, Supply Chain, and Product teams to align tasks, goals, and timelines. Build and maintain strong relationships with internal teams such as Creative, Sales, Product Development, Quality, and Regulatory.
Oversee third-party subscription box programs, ensuring smooth execution of end-to-end processes including product selection, timelines, and deliverables.
Support PR and training seeding initiatives, specifically including inbound inventory coordination and distribution to influencers, media, and global teams.
Supervise the cataloging, allocation, and timely delivery of new launch samples to key stakeholders.
Develop and maintain project management tools, including workback schedules, Gantt charts, and status reports, while escalating risks as needed.
Monitor and track expenses related to marketing operations, including subscription box programs, PR seedings, and sample distribution. Ensure adherence to allocated budgets for marketing collateral and initiatives.
Partner with marketing and visual merchandising teams to support new launches samples, retail expansions testers, and ongoing updates, including events, training materials, presentations, and warehouse sales.
Drive operational efficiency by identifying areas for improvement and implementing solutions in project management and workflow optimization.
Support new and ongoing initiatives to enhance organizational processes and standards.
Take on additional responsibilities as assigned by senior leadership to meet organizational needs.
Qualifications:
Bachelor's degree or higher in Chemistry, Biology, Cosmetic Science, or a related scientific field.
Minimum 4-5 years of experience in product development, formulation, or regulatory affairs within the cosmetics, skincare, or beauty industry.
In-depth knowledge of cosmetic regulations, including labeling, claims compliance, and product testing standards across global markets.
Experience preparing and managing regulatory documents such as ILs, Certificates of Free Sale, CAPAs, and risk assessments.
Strong project management skills with the ability to manage multiple products and tight timelines.
Proficiency in data analysis and critical thinking for root cause analysis and problem-solving.
Detail-oriented with the ability to ensure compliance and quality assurance standards are met.
