Vesta Wealth Partners Ltd. is a Calgary based Wealth Management firm offering a unique array of active, passive, factor-based and alternatives solutions. We work closely with clients to construct optimal portfolios and are looking to welcome a Client Administration Associate into our company who will be primarily responsible for managing our clients onboarding and administrative needs.


Primary Duties:

  • Serve as the primary point of contact for clients with respect to client service on-boarding initiatives.
  • Verify that all documentation received from the client comply with regulatory and compliance standards and firm-wide policies.
  • Managing portal systems including bulk uploading client documentation and quarterly/performance reporting.
  • Day to day client cash flow management and administrative needs. Handling of escalated custodial requests.
  • Client account updates and administration internally and through our custodial accounts.
  • Updating and managing client portal systems and any additional client requests.
  • Monthly liquidity administration (journals, subscription, and redemption documents).
  • Fund administration related to subscription agreements and capital calls.
  • Updating task management boards.
  • Client filing (electronic and hard copy).
  • Recording minutes for client meetings, preparation of meeting material including meeting time setup and requests.
  • Ad hoc administrative work as may be required.


Expertise and Qualifications:

  • Bachelor’s degree (preferred)
  • Able to switch seamlessly between tasks
  • Efficient at prioritizing tasks and delivering under short lead times
  • Excellent communication skills within the team and when talking to clients and business partners
  • Able to problem solve independently and within a team environment
  • Strong organizational skills, with careful attention to detail
  • Solid technical knowledge of Windows and Microsoft operating systems. Comfort working with data and new data technology systems
  • Work well under deadline pressure and in dynamic environments
  • At least 3 years of experience in a similar environment (preferred)
