Position Overview

Functional Summary

As the Payroll Analyst, the primary responsibility will be to process and finalize full cycle payroll processing for hourly employees. Ensuring efficient, effective, and employee-focused payroll support for Colas Western Canada Inc. operations. You will report to the Payroll Manager and work with the CWCI payroll teams to develop and implement business strategies targeted at transforming and modernizing the CWCI payroll function.

In this role you will be working closely with the payroll teams to support initiatives that drive processing efficiencies, standardization, and employee payroll experience. You will be an active team member with a key role in shaping our company’s future, focusing on enhancing our organizational structure, culture, and workforce capabilities.
 

Job Responsibilities

•    Preparation and processing full cycle weekly payroll for all union and non-union hourly employees.  
•    Receive and process payroll change information from local offices and HeavyJob and JDE
•     Audit information for completeness and take appropriate action where needed 
•    Prepare documentation and final payments for terminated employees, including ROEs using ROE Web and responding to Service Canada inquiries.
•    Process online payments for Source Deductions and reconcile with PD7A’s.
•    Prepare and process all garnishments, including filling out and submitting garnishment related documents.
•    Validates the system calculation of earnings and deductions to ensure compliance with Canada Revenue Agency, multi province legislation, collective agreement(s), WCB, EHT and benefit programs.
•    Assist in annual year end reporting and reconciliation, including issuing of T4’s and T2200’s as required.
•    Assist in monthly reconciliation of various payroll functions to the G/L (Pension, union benefits and dues, garnishments, etc.).
•    Provide excellent customer service, troubleshoot and resolve payroll related issues 
•    Review all benefit billing and remit payments.
•    Full review of all payroll setups in JD Edwards to ensure accuracy and correcting errors as required.
•    Assisting IT Department in system testing of new set ups and processes.
•    Partner with the payroll teams on the flow of information and integration (input/output) from the payroll system with other systems.
•    Identify key trends within the organization, provide insight that will allow payroll to proactively manage and engage team members.
•    Assist in defining project scope, identifying approaches, and executing major strategic projects.
•    Participate in projects with multiple work streams and multiple stakeholders.
•    Establish, monitor, and communicate KPIs using a dashboard or similar tool.
•    Deliver payroll services in compliance with federal, provincial, and territorial legislation.
•    Validate payroll data, including earnings, deductions, and taxes, to ensure accuracy.
•    Collaborate with HR and Finance teams to address any discrepancies or issues.
•    Regularly audit payroll data to identify discrepancies and address them proactively.
•    Maintain accurate employee records within JDE.
•    Identify opportunities to streamline payroll processes and enhance efficiency.
•    Collaborate with cross-functional teams to implement process improvements
•    Perform other related duties as assigned.  
 

Qualifications and Experience

•    Minimum 3 years work experience in payroll processing and/or analytics 
•    Proficient using Microsoft Office products (Excel, Word and PowerPoint) (Pivot Table and V Look Ups)
•    Proven ability to build strong partnerships with colleagues across the organization (HR, technology etc.), desire to be flexible and think strategically 
•    Ability to work well under pressure and manage multiple projects and repetitive tasks.
•    High attention to detail, accuracy, efficiency, and ability to handle multiple priorities.
•    Knowledge of payroll functions, including preparation, balancing, internal controls, and payroll taxes.
•    Experience with Canadian payroll taxation rules and regulations
•    Ability to handle confidential information in a professional manner
•    Excellent customer service orientation with creative and resourceful problem solving skills – “can do” attitude
•    Proficient with the use of JD Edwards would be considered an asset.
•    Strong customer service and communication skills (written and verbal).
•    Demonstrates behaviour reflecting confidentiality, discretion, and sound judgement.
•    Strong project management skills; must be able to manage multiple complex projects at the same time
•    Proven strong organizational and analytical skills with attention to detail and the ability to multi-task
•    Excellent time management skills with the ability to multi-task in a high-volume environment
 

Education

•    Post secondary education in business or finance considered a strong asset.
•    Certification as Payroll Compliance Practitioner is considered an asset.
 

Working Conditions

•    Position will primarily work in an office setting.
•    Overtime as required.
•    Lifting or moving up to 10lbs may be required.
•    Ability to travel to various business units and corporate offices as required
•    Use of Personal Protection Equipment if required.
•    Manual dexterity required to use computer and peripherals
