Legal AssistantCorporateServices

Thelegal assistant supports the paralegals in the corporate servicessector with their administrative and corporate tasks.Responsibilities include managing the opening and closing of filesorganizing meetings handling bill payments and supportingparalegals in corporate commercial and tax transactions.Responsibilities also encompass drafting annual resolutionspreparing legal documents and coordinating internal and externalcommunications. The role is for our client in the legalindustry.

Whatis in it foryou:

Competitive Salary: Between $52.000 and $78.000 peryear.
Permanent fulltimeposition: 35 hours per week.
Flexible schedule: Monday through Friday with possible work hoursfrom 8 am to 4 pm 8:30 am to 4:30 pm or 9 am to 5pm.
Hybrid work: 3 days in theoffice and 2 days working from home. Wednesday is mandatory in theoffice with the freedom to choose the other two days ofpresence.
Group insurance:Comprehensive coverage including dental care glasses and mentalhealth support up to $3000 with family coverage fully funded by theemployer.
Wellness program:Reimbursement of up to $750 for teleworking equipment (headphonesApple Watch etc.).
Training: $700reimbursement per year for professional development and inpersontraining 4 days a week.

Responsibilities:

Maintenance

Draft annual resolutions.
Prepareand electronically file annual update statements (Qubec).
Prepare extraprovincialreports as needed.
Producemonthly Enact reports formaintenance.
Other relatedtasks.

CorporateManagement

Update virtual minute books and all sector lists anddatabases.
Conduct variouscorporate searches.
Writetranscribe proofread and/or format corporatedocuments.
Prepare documents andforms for updating corporateinformation.
Other relatedtasks.

Correspondence

Write transcribe proofread and/or format various documents (emailsletters memos etc.).
Sendreceived correspondence to clients and transmit documents byfax.
Manage phonecalls.
Answer phone calls andensure followup of internal and externalcalls.
Contact various governmentagencies (Registraire des entreprises du Qu bec Corporations Canadaetc.).
Organize conferencerooms.
Book conferencerooms.
Order meals beverages andotherservices.

Managefiles.

Open and organize physical and electronic files(MCDM).
Track paralegal files andperform filing.
Prepare closingforms for inactive files.
Sendarchiving boxes to the file and conflict managementspecialist.
Coordinate the returnof archived files.
Other relatedtasks.

EnactDatabase

Keep corporate records and minute books up to date inEnact.
Enter data and updatecompany information.
Preparevarious forms (incorporation amendment merger) and sharecertificates.
Update corporateprofiles.
Securities
Prepare forms forcheque requests and/or "in trust" fundtransfers.
Prepare SEDARrequisition forms.
Coordinateobtaining signatures and send documents to concerned individuals inToronto.
Other relatedtasks.

Whatyou need tosucceed:

Professional specialization certificate in legal secretarial workor College Diploma (DEC) in legal administration (a DEC in legaltechniques would be an asset).
2years of relevant experience in a corporate services paralegalteam.
Experience andSkills:
Excellent command of bothFrench and English written and spoken to converse with Anglophoneand Francophone clients.
Goodknowledge of the EnAct database.
Knowledge of the Business Corporations Act (Qu bec) and the CanadaBusiness Corporations Act.
Strongorganizational skills and the ability to manage multiple taskssimultaneously.
Autonomous whiledemonstrating teamwork.
Abilityto work under pressure and managestress.
Attention to detailresourcefulness and availability for overtime asneeded.
