Reporting to the Manager of Adult Mental Health Out‑Patients,the Program Assistant works within a continuous

quality improvement framework which reflects TBRHSC's vision andmission of services. The Program Assistant

provides general administrative and specific ACT Program‑relatedservices to the ACT Team. The

program/administrative assistant is responsible for organizing,coordinating, and monitoring all non‑clinical operations

of ACT, including: managing medical records; operating andcoordinating the management of information systems;

maintaining; providing receptionist activities, including triagingcalls and coordinating communication between the

team and clients.

All applicants must possess the following skills, experience andqualifications:

* Post‑secondary diploma or degree in office or businessadministration an asset;

* Medical Secretary Certificate or equivalent relevant workexperience in a primary or mental health care clinic

required;

* Three to five years office administrative experience withprogressive responsibility; preferably in a health setting;

* Demonstrated proficiency in the use of computers and varioussoftware applications, including Microsoft Office

programs, client database software, and electronic record keepingin a client‑service setting;

* Demonstrated ability to work with limited supervision;

* Experience in general office procedures and relevantadministrative skills;

* Demonstrated ability to organize and prioritize work receivedfrom a number of individuals;

* Ability to access, enter and retrieve information from aclinical information system;

* Demonstrated ability to compose correspondence;

* Demonstrated ability to use a variety of office equipment;

* knowledge of medical and psychiatric terminology;

* Experience working with a multidisciplinary team an asset;

* Diplomacy and discretion in dealing with the public andclients; exceptional communication and interpersonal skills;

* Experience with individual with serious mental illness is andasset;

* Excellent problem‑solving skills to assist and supportparticipants with serious mental illness and their families;

* Demonstrated organizational and analytical skills;

* Ability to work independently as well as part of the ACT team;

* Ability to work under tight pressures and reporting deadlines;

* Strong commitment to the right and ability of each person witha serious mental illness to live in normal community

residences; work in market jobs; and have access to continuoussupports and services;

* Commitment to the confidentiality of client;

* Experience with administration support to health professionals,e.g., maintaining medical files, working reception

equipment, booking appointments;

* Excellent interpersonal and communication skills, oral andwritten, in English.

* Exceptional telephone etiquette;

* Demonstrated ability to model "client‑centred"service delivery;

* Familiarity with the Mental Health Act an asset;

* Knowledge of and ability to work with diverse populations.

Salary Range: $27.838 to 28.475
