We are offering a contract to hire employment opportunity for a Customer Service and Order Management Specialist in the Food & Food Processing industry, located in Markham, Ontario. The role involves a blend of office and remote work, providing a dynamic and adaptable work environment.


Role Overview: Reporting to the Associate Director of Customer Service, the CSR will play a vital role as the main point of contact between our company and our customers. You will be responsible for managing orders and resolving issues to ensure high levels of customer satisfaction.

Key Responsibilities:

Order Management – Retail & Food Service:

  • Accurately receive, enter, and process orders for assigned customers using SAP.
  • Maintain regular communication with the Sales team to address discrepancies in customer purchase orders, such as pricing, and provide order status updates as needed.
  • Proactively address outstanding open orders within the required period to minimize delays or missed pickups.

Direct Ship & Industrial Frozen:

  • Accurately receive, enter, and process orders and contracts for assigned customers using SAP.
  • Coordinate with factories to confirm order feasibility and estimated delivery times.
  • Manage the weekly container tracker, updating customers on the estimated arrival and status of their shipments.

Business Support:

  • Promptly address OS& D (Over, Short & Damaged) issues to minimize costs, including processing returns, debit/credit memos, and resolving invoicing issues in SAP.
  • Assist in resolving errors within EDI (Electronic Data Interchange).
  • Resolve customer issues by following established processes and providing necessary documentation to finance for customer deductions.

On-Time In-Full (OTIF):

  • Actively manage supply issues and keep customers informed to avoid penalties or fines.
  • Ensure daily delivery schedules are met, communicating any delays to customers to minimize late deliveries or pickups.
  • Work closely with internal Supply Chain departments and third-party logistics providers to keep customers informed of their order status in a proactive manner.

Collaboration:

  • Maintain a professional attitude in all interactions with internal and external customers.
  • Address client complaints and provide timely and effective solutions.
  • Liaise regularly with warehouse teams and transportation for all shipment requests and inquiries.

Additional Responsibilities:

  • Create and maintain Customer Profile Documents to support cross-training and provide backup during vacations.
  • Participate in interdepartmental projects related to customer service.
  • Undertake special projects as assigned.
  • Attend departmental meetings as needed.

At least 2 years of experience in customer service, preferably within the Consumer Packaged Goods (CPG) industry.

Experience with SAP, JDE, or other ERP systems.

A reliable, dedicated, and hardworking attitude.

Strong time management and task prioritization skills.

Openness to constructive feedback.

Ability to build and maintain positive relationships with customers.

Strong problem-solving abilities.

Proficiency in MS Office applications.
