Our client an international law firm withmore than 575 lawyers across 21 offices in the United States CanadaEurope and Asia is seeking a qualified candidate for the role ofLegal Assistant/Office Coordinator to support one senior lawyer andtheir small downtown Vancouver office. This role is pivotal inproviding legal administrative support and exceptional clientservices ensuring the smooth operation of the office under theguidance of the Regional Director and Office Head. They are apremier legal counselor to companies worldwide in variousindustries including banking financial institutions developmentinfrastructure energy natural resources food beverage agribusinesshealthcare life sciences and technology.

Responsibilities:

  • Legal AdministrativeSupport: Provide administrative support to attorneysact as a liaison for clients initiate client/matter openingsconduct conflicts checks and prepare engagement letters.
  • Calendar Management:Proactively manage attorneys' calendars anticipatedeadlines and implement followup procedures to ensure deadlines aremet.
  • DocumentPreparation: Create edit revise redline andproofread legal documents.
  • TimeEntry: Enter attorneys’ time ensuringaccuracy by proofreading and using appropriate taskcodes.
  • BillingAssistance: Assist with the billing processincluding distributing monthly proformas reviewing and editing themand sending invoices to clients.
  • File Management: Maintainclient files both electronic and hard copy and ensure prompt andaccurate filing.
  • MailProcessing: Handle incoming and outgoing mailincluding packages for shipment.
  • Financial Processing:Process reimbursement requests check requests and vendorinvoices.
  • MeetingCoordination: Schedule attorney meetingsappointments and conference rooms.
  • Travel Arrangements:Coordinate travel including flights hotels and rentalcars.
  • CLE RecordsManagement: Maintain attorney CLE records includingseminar registration and reporting.
  • Customer Service: Providehighlevel customer service to attorneys and clients.
  • Policy Implementation: Workwith the Office Head and Regional Director to implement firmpolicies and procedures.
  • OfficeSupplies: Order supplies and monitorinventories.
  • Facilities and ITCoordination: Coordinate facilities and IT issueswith the Minneapolis office and building management.

Qualifications:

  • High School diploma or G.E.D.equivalent.
  • At least 4 years of relatedexperience preferably in a law firm.
  • Advancedknowledge of Microsoft Office and proficiency with AdobeAcrobat.
  • Excellent oral and writtencommunication skills.
  • Attention to detail andaccuracy.
  • Strong organizational skills and theability to manage multiple tasks.
  • Excellentcustomer/client service skills.
  • Ability towork under pressure and meet deadlines.
  • Goodjudgment in resolving conflicts and working in challengingsituations.
  • Ability to maintainconfidentiality.
  • Positive attitude and abilityto work both independently and as part of a team.
  • Excellent analytical and problemsolvingskills.
  • Thorough understanding of legalterminology and procedures pertinent to the practicearea.
