Office Services Clerk – Calgary, AB (On-Site)

Job Summary

The Office Services Clerk is responsible for providing clerical and administrative support in order to ensure efficiency and effectiveness within the office. The candidate will have a strong work ethic, be collaborative, professional, adaptable, positive and interested in their work.

Work Environment

This role will be on-site in the downtown Calgary office and will not be eligible for hybrid or remote working arrangements. Hours of work are from 8:00 a.m. to 4:00 p.m. Monday through Friday. Occasional pre-authorized overtime may be required to meet business needs.

This role may be required from time to time to provide coverage at our Tsuut’ina office, located on Tsuut’ina Nation, AB. The candidate can have their own reliable transportation method, or alternative transportation will be provided when needed.

Primary Responsibilities

Processing of Canada Post and internal mail daily; Assisting with boardroom bookings and catering orders; Ensuring boardroom set up and maintenance for meetings; Routinely emptying recycling bins at workstations and offices; Actively monitor kitchens on all floors throughout the day to ensure a full stock of firm provided amenities, maintaining tidiness and ensuring pristine cleanliness; Keeping office supply room tidy and fully stocked; Receives and delivers printed faxes in a timely manner; Organizes, manages and assists with photocopying jobs and other administrative requests; Provides reception relief for receptionist daily and full coverage for vacations, sick days and other days off; Maintains order and organizes shelving in the library; Ensures that work stations/offices for new hires are stocked with supplies and cleaned from the previous incumbent; Office packing, cleaning, organizing and logistics support for ad hoc office moves as required; Performs other clerical duties, as assigned.

Required Knowledge and Experience

Completion of High School Diploma; Experience in a law firm or other professional services environment is considered an asset; Possesses a strong customer service mentality; Knowledge of operation and basic maintenance of major office equipment including photocopier, fax machine, postage machine, colour printer and cerloxing procedures; Knowledge of computer software including MS Word, Outlook and Excel.

Supervisor

This role reports to the Manager, Human Resources with a team oversight from the Facilities Team Lead .
