PositionOverview

We are seeking adetailoriented and dynamic AdministrativeManager to join our team. This role is pivotal tomaintaining efficient business operations and ensuring seamlesscoordination across multiple functions from client services andevent management to digital content and system updates. The idealcandidate is highly organized techsavvy and skilled at balancingmultiple priorities with the ability to provide support for a widerange of initiatives.

KeyResponsibilities
  • Invoicing& Financial Coordination: Manage and trackinvoicing processes using QuickBooks; support financial reportingand budgeting tasks.
  • EventCoordination: Lead logistical planning and execution forthe Kathleen Black Annual Summit webinars and other live or virtualevents ensuring exceptional attendeeexperiences.
  • System andWebsite Management: Oversee updates and improvements toour WordPress website; manage integrations and automations viatools such as Zapier andworkflows.
  • Social Media& Content Support: Collaborate on social mediacampaigns by creating visuals in Canva organizing content schedulesand tracking engagementmetrics.
  • Client &Coach Coordination: Schedule and coordinate sessionsbetween clients and coaches; manage client inquiries to ensuretimely and professionalresponses.
  • Vendor &Sponsorship Management: Support sponsorship and vendorrelations by coordinating partnerships and maintainingcommunication with eventsponsors.
  • ProcessImprovement & Workflow Automation: Design andoptimize workflows within Asana and Trello using automations andAIs where appropriate to streamlineprocesses.
Qualifications
  • Education:Bachelors degree in Business Administration MarketingCommunications or a related fieldpreferred.
  • Experience:3 years of experience in administration event coordination oroperationsmanagement.
  • TechnicalSkills: Proficiency with QuickBooks WordPress CanvaZapier Asana Trello and other project management tools; experiencewith workflow automations and AIdriven solutions is aplus.
  • ProjectManagement: Strong organizational and project managementabilities with proven experience in coordinating multifacetedprojects.
  • CommunicationSkills: Excellent verbal and written communicationskills; able to build rapport with clients vendors and teammembers.
  • ProblemSolving:A proactive problemsolver who can anticipate needs streamlineprocesses and troubleshoot challenges with minimalsupervision.
  • Flexibility:Adaptable to changing priorities and comfortable managing multipleprojects in a fastpacedenvironment.
