Our client in the pharmaceutical industry is looking for a Commercial Coordinator to join their team. They are a dynamic company committed to enhancing patient care and improving health outcomes. Their focus is on delivering innovative, effective, and safe prescription medications.

The commercial coordinator will be apart of their Marketing & Commercial Operations team. This role will support various commercial activities, including purchase order management, event coordination, sample cupboard management, and administrative support to the commercial team.

**This is a bilingual role and requires fluency in both English and French..

Location: North York

Job Type: Full-Time Permanent Hybrid ( 3 days in office, 2 days from home)

Hours: Mon-Fri 900am-5:00pm or 8:00am-4:00pm ( flexible)

Salary: $65K-$73,900K

Responsibilities

- Create and manage purchase orders .
- Track budgets for each major brand in collaboration with the finance business partner.
- Process invoices; work closely with Accounts Payable to ensure timely payments and proper archiving.
- Ensure adherence to all compliance-related requirements, including valid MSAs, Vendor Proposal approvals, and proper documentation .
- Provide administrative support for attendee recruitment, travel arrangements, venue selection, and contract management.
- Process attendee honorarium payments and ensure all compliance requirements are met.
- Manage and retain appropriate documents for compliance purposes.
- Provide on-site support for select meetings as required.
- Create new materials in the system and ensure all materials are valid (PAABed).
- Coordinate material shipments to the Field.
- Work closely with the Agency on deliveries, reprints, and order status.
- Conduct monthly meetings with vendors to review updates and inventory changes.
- Communicate with the Field regarding destruction notices and other relevant updates.
- Manage calendars for team members and provide travel support as needed.
- Conduct weekly 1:1 meetings with each team member to review project status, budget trackers, and other relevant updates.
- Manage contracts and ensure all compliance requirements are met.
- Collaborate closely with other Administrative Staff and the Field to ensure smooth operations.

Qualifications
- Post secondary education in a related field
- Minimum 5+ years experience in office management, a marketing support role and/or a creative support role.
- Experience in Pharma (prescription) is considered an ASSET
- Strong communicator, relationship builder, and collaborative problem solver.
- Ability to network at all levels and demonstrate leadership skills and collaborative spirit cross-functionally.
- Event planning and coordination experience.
- Ability to adapt to change and ambiguity with confidence.
