You will provide day-to-day administrative support to the Relationship Managers (RM) by assisting with client requests. Responsibilities include communicating with corporate clients and their counsel regarding shareholder mailings, shareholder meetings, dividends, treasuries, capital reconciliations, billing, audit confirmations and monthly reporting. A successful ARM can manage multiple requests, take direction and initiative, and enjoy client interaction. The role is organized, proactive, and curious about the transfer agency field. Responsibilities Work independently, and in partnership with the Relationship Manager to ensure accurate and responsive delivery of client services related to shareholder meetings, share issuances, reporting and shareholders. Collaborate with clients and internal resources on intervention and escalated items to ensure prompt resolution. Support activities for shareholder meetings, including coordination of proxy activities (ordering lists, labels, journals) and attending shareholder meetings as scrutineer/co-scrutineer. Review documents submitted by shareholders, participants and financial institutions to ensure they are compliant and complete. Assist issuers with special projects, expediting transfers, troubleshooting, problem solving and servicing of issuer shareholder accounts. Manage and maintain client accounts, including processing reinvestments, withdrawals, transfers, sales and estates. Maintain relationships with key client personnel to ensure satisfaction and retention. Create and reconcile reports on a regular and ad-hoc basis. Provide general support within the Client Services team as needed. Qualifications 2 years administrative experience (Legal, Financial or Securities industry preferred). Client-facing experience with businesses, executives and/or legal counsel. Post-secondary diploma or degree. Intermediate working knowledge of MS Office suite. Ability to multi-task and meet deadlines. Ability to prioritize when encountering conflicting duties. Accuracy and attention to detail. Strong mathematical and organizational skills.
