Work-Integrated Learning Administrator

This position reports to the Work-Integrated Learning (WIL) Manager in the Faculty of Health Studies (FHS). The WIL Administrator arranges and coordinates practicum placements for students in a variety of programs across the FHS. This position works closely with program areas, students, clinical/practicum sites, and the WIL team to ensure successful student placement. The position involves developing strong relationships with key stakeholders, utilizing technology, coordinating, and the acquisition of student clinical and practicum placements, as well as maintaining communication and relationship with facility managers and stakeholder placement management. You will also provide excellent customer service to students, program areas, practicum sites and collaborate with other areas where the role’s expertise is required. The WIL Administrator works independently and collaboratively to execute cyclical operational and coordination activities aligned to FHS programs, as well as, WIL external stakeholders’ schedules, and is delegated additional tasks that support key functions in the WIL area needed for successful student placement. Other related administrative duties will include utilizing a variety of software and information systems, extensive use of verbal, written, and electronic communication records management, and support to other administrative positions as needed. The WIL Administrator will also support the review and improvement of ongoing processes. This role brings a high level of human services and business acumen to the area, providing support to functions such as: WIL business planning, research on WIL placement trends among the community and institutional partners, building rapport, and developing relations with internal and external stakeholders. HOW YOU’LL MAKE A DIFFERENCE: Support the cycle of recurring business activities by using excellent verbal and written communication skills to answer internal and external inquiries about the various FHS programs with a WIL component. Manage assigned workflow with regard to student practicum placement. Create new and maintain existing relationships with placement sites in order to arrange practicums. Utilize a variety of records, systems, documents, and functional spreadsheets that facilitate the WIL placement process. Manage electronic and paper information and records related to student placement and adhere to compliance and FOIP requirements. Proactively check student academic records and checklists in PeopleSoft to ensure students, WIL team, and program areas are made aware of any deficiencies that could prevent students from attending clinical. Ensure appropriate student IT access requirements are requested prior to placement. Utilize and manipulate a variety of software and databases to create documents, reports, spreadsheets, and emails that support placement requests in MS Word, HSPnet, Excel, Outlook, Peoplesoft, and Connect Care. Gather and communicate required information from preceptors, students, and program areas and notify students of placement information and schedule to ensure successful placement opportunities. Answer general inquiries from students, program areas, and practicum sites regarding placement. Understand the importance of this role to the engagement of faculty, staff, students, and external stakeholders. Provide support by disseminating information in a timely manner and contribute to and support institutional projects. Engage in continuous learning related to WIL, as well as personal and professional development. Leverage technology and seek innovative ways to improve procedures and processes in student placement and other WIL processes. Engage and communicate regularly with all members of the WIL team and other NorQuesters. Evaluate new clinical and practicum sites for suitability and support contract and documentation required for the acquisition of new clinical and placement sites, in collaboration with the WIL Manager. Contribute to the development of new processes that facilitate compliance with placement agency planning timelines. Provide reports as needed by WIL Manager, or other senior administration. WHAT YOU BRING: A degree or diploma in business, health, or related discipline is required. 2+ years of relevant experience. With some experience related to WIL in a post-secondary environment. Digital literacy - demonstrated technical knowledge of Microsoft Word, PeopleSoft, Excel, Outlook, and Teams. Previous exprience working with Moodle, HSPnet, Access (or another database), and Connect Care. Provide reports as needed by WIL Manager, or other senior administration.
